Associate Director Western College Alumnae Association, Inc.

Summary: The Associate Director of the Western College Alumnae Association, Inc. (WCAA, Inc.), will work collaboratively as well as independently to promote and advance: The mission of the WCAA, Inc. to preserve and encourage communication among and with alumnae and to support education and human values that
continue the heritage and tradition of the Western College. Relations with the Western College alumnae in regards to engagement, events, volunteerism, planned giving, fundraising for the Annual Fund and
special projects. Relations between the Western College alumnae and the University in regards
to campus involvement and educational programs.

Duties: The position reports to the Assistant Vice President of University Advancement Donor Engagement and Board Relations and Director of the Western College Alumnae Association, Inc. under the Senior Vice President, University Advancement.

  • In collaboration with the Assistant Vice President, oversee the operations of the Western College Alumnae Association, Inc.
  • Devise and implement strategies to increase overall alumnae participation in the association communications, programming, and fundraising. This includes, but is not limited to: marketing materials, solicitation mailings, online and email communications, social media, alumnae magazine support, special events, and program development.
  • Participate in the coordination of volunteer recruitment, training and retention/recognition of volunteers and provides assistance with the governance structure, function of volunteer boards, and attends volunteer events as needed.
  • Maintain volunteer records, receive and respond to volunteer inquiries, and coordinate logistics of volunteer meetings with the WCAA, Inc. team and University partners.
  • Analyze, prepare, and monitor the Association’s budgets, including donor gifts.
  • Plan and execute a comprehensive donor acknowledgment program to enhance the relationship between the WCAA, Inc. and its generous donors.
  • Manage an efficient and timely gift acknowledgment process that ensures all donors are thanked in an appropriate, consistent, and meaningful way.
  • Responsible for recruiting, hiring, scheduling and supervising student staff positions in day-to-day operations and during Alumnae Weekend.
  • In cooperation with the Assistant Vice President, provide oversight of the development, design and execution of events on and off campus, including Alumnae Weekend and regional gatherings.
  • Serve as a representative of the WCAA, Inc. at programs and events as
    necessary, including events on campus and away from campus, to include New Position Authorization Form - Staff weekend and/or extended hours as necessary.

Minimum Qualifications:

  • Bachelor’s degree.
  • Minimum of three years of relevant experience, including experience in development, working with volunteers, and/or alumni relations.
  • Ability to communicate clearly and accurately in written and oral communications. Excellent writing skills are essential.
  • Professional interpersonal skills and the ability to work well with diverse constituencies.
  • Knowledge of word processing and spreadsheets.
  • Ability to understand the importance of building life-long relationships between the alumnae/friends and the University.
  • Must be able to successfully manage multiple tasks simultaneously with demonstrated problem solving and critical thinking skills, meet deadlines and pay attention to details and accuracy.
  • Experience working with individuals of diverse backgrounds.
  • Ability to take initiative.
  • Strong organizational skills.
  • Must be available to work some weekends and evening hours.

Desired Qualifications:

  • Knowledge of Western College and Miami University.
  • Fundraising experience.
  • Experience in a non-profit or higher educational setting.
  • Knowledge of desktop publishing, web design, and accounting software.
  • Experience in personnel management.
  • Experience leading alumni programming.
  • Strong presentation
  • Knowledge, Skills and Abilities: Knowledge of word processing and spreadsheets.
  • Ability to understand the importance of building life-long relationships between the alumnae/friends and the University.
