The Claremont Colleges Services (TCCS) is the central coordinating and support organization for a highly regarded cluster of seven independent colleges known as The Claremont Colleges. TCCS, with about 300 staff members, provides exceptional shared services to 9,000 students, and almost 3,600 faculty and staff. TCCS staff work in both student-facing services as well as administrative and operational services. Our numerous departments are located throughout The Claremont Colleges campus in the beautiful city of Claremont, California.

ABOUT THE POSITION:

The Accounting Associate performs accounting support services for Financial Services by functioning as a point of contact, reviewing payment requests, performing data entry, preparing, account reconciliations, archiving, indexing, retrieving documents, and other related duties as assigned.

ESSENTIAL FUNCTIONS:

The following are the essential duties and responsibilities the incumbent must be able to perform.

Accounting Support
  • Serve as a point of contact and research accounting transactions to respond to inquiries and requests.
  • Review payment requests for appropriate authorization, documentation, accuracy, and identify taxability issues (e.g., 1099 status, use tax, treaty status, withholdings, etc.).
  • Data enter transactions into the financial system(s).
  • Prepare basic journal entries.
  • Prepare bank account reconciliations.
  • Prepare cash receipt transmittals.
  • Assist in balance sheet account reconciliations.
  • Assist with the preparation and processing of grant invoices and drawdown requests.
  • Assist with period end general ledger closing sand related transactions.
  • Assist with the distribution of financial reports.
  • Assist with the preparation of year-end audit schedules, financial statements, and footnotes.
  • Archive and index documents in the electronic document archival system.
  • Retrieve archived accounting records.


Other Duties
  • Participate in training/cross-training with external and internal constituents.
  • Serve as a consistent, knowledgeable, and reliable resource for external and internal constituents.
  • Perform other related duties as assigned.


QUALIFICATIONS

Required Qualifications: The following qualifications are required to perform the essential functions of this position, or the individual must be able to demonstrate how the essential functions will be performed (with or without reasonable accommodation) using other qualifications not listed below.

Education : An associate degree in business or other related discipline, or the equivalent in education, training, and additional experience beyond the minimum required.

Experience : This is an entry-level accounting position. Some paid accounting experience is preferred.

Knowledge, Skills, and Abilities :
  • Strong customer service skills.
  • Strong ability to learn various electronic accounting and other systems.
  • Ability to work effectively and congenially with diverse internal and external constituents in a team-oriented environment.
  • Strong written and oral communication skills in English, including the ability to write with proper grammar, spelling, and business etiquette.
  • Ability to perform basic mathematical calculations, including adding, subtracting, multiplying, and dividing.
  • Demonstrate flexibility and openness to continual changes in processes and environment.
  • Fast and accurate typing skills and ability to perform data entry.
  • Ability to share knowledge and information and learn new tasks.
  • Discretion, good judgment, and tact. Demonstrate composure in difficult and unexpected situations.
  • Ability to work accurately and maintain productivity, organization, and prioritization, and meet deadlines in a fast-paced work environment.
  • Ability to manage time effectively to meet deadlines and expectations.
  • Proficient knowledge of Microsoft Word, Excel, Outlook, and Teams.
  • Ability to operate basic office equipment such as multi-line telephone, large-capacity printer, facsimile machine, etc.
  • Ability to present a professional and neat appearance and present self in a manner that reflects positively on the organization.
  • Dependability, strong work ethic, and a positive attitude.


Other :
  • Sit for prolonged periods of time.
  • Dexterity to manipulate paper, hardcopy files, writing instruments, computer keyboard, copier, telephone, and other typical office equipment.


Preferred Qualifications: The following qualifications are preferred:
  • Some paid accounting experience is preferred.
  • Experience with Workday Financial is a plus.


Required Work Hours: The regular hours for this full-time position are 8:00 a.m. to 5:00 p.m., Monday through Friday. May be required to work holiday, weekend, and/or evening hours. Regular hours may vary due to needs of the organization or business unit.

COMPENSATION

Pay : The pay rate for this position is competitive and commensurate with the duties, responsibilities, and qualifications required for the position, between $24-$25 an hour.
