The Claremont Colleges Services (TCCS) is the central coordinating and support organization for a highly regarded cluster of seven independent colleges known as The Claremont Colleges. TCCS with a staff of 300, provides exceptional shared services to 9,000 students, and almost 3,600 faculty and staff. TCCS staff work in both student-facing services as well as administrative and operational services. Our numerous departments are located throughout The Claremont Colleges campus in the beautiful city of Claremont, California.

ABOUT THE POSITION:

The Claremont Colleges Services seeks a Staff Accountant with a spectrum of financial accounting services. Responsible for preparing, reviewing, and processing general, investment, grant, and other accounting transactions, as well as assisting the Associate/Assistant Controller with various internal/external audits.

ESSENTIAL FUNCTIONS

The following are the fundamental duties and responsibilities of this position which the incumbent must be able to perform to fulfill the purpose and requirements of this position.

Provide General Accounting Services
  • Preparing journal entries; and reviewing journal entries for completeness, appropriateness, accuracy, and reasonableness.
  • Monitoring, analyzing, and assisting in daily cash management duties.
  • Processing bank activity, performing bank account reconciliations and following through on reconciling items with Financial Services and constituents.
  • Monitoring and reconciling assigned balance sheet accounts and following through on reconciling items.
  • Monitoring unassigned balance sheet accounts to ensure accounts are reconciled, by other TCCS or constituent departments, on a periodic basis.
  • Assist departments with reconciling accounts.
  • Maintaining, reconciling, and processing fixed asset accounting records/transactions.
  • Monitoring and capitalizing capital projects.
  • Maintaining, reconciling, and processing debt service accounting records/transactions.
  • Preparing payments of sales/use tax accrual and tax returns to the state and participating in sales/use tax audit.
  • Preparing and processing month, quarter, and year-end general ledger closing and related transactions
  • Maintaining monthly financial reports for accuracy and completeness.
  • Assisting in compliance and regulatory reporting.
  • Following and enforcing Financial Services and institutional policies and procedures.


Provide Investment Accounting Services
  • Maintaining investment sub-ledger accounting system, if applicable.
  • Maintaining and reconciling asset accounting for trusts and institutional investments.
  • Maintaining and reconciling unitized pooled investments.
  • Calculating monthly/quarterly unit market values for pooled investments Reconciling investment custodian accounts.
  • Calculating and recording spending policy income and gain appropriations.
  • Monitoring and reconciling settlement of pool cash balances for pooled investments.
  • Processing and recording investment trades and purchases.
  • Processing, recording, and reconciling non-cash gifts..
  • Producing monthly and quarterly investment accounting reports for the business offices.


Provide Grant Accounting Services
  • Creating awards in the financial system for Federal and conditional Private grants.
  • Reviewing payment requests spend requests, and journal entries for allowability of charges under grant terms
  • Preparing and processing billing invoices to grantors.
  • Processing, monitoring, and reconciling grant drawdown requests.
  • Monitoring payments and following up when necessary.
  • Preparing post-award and ad-hoc status reports for grantors, institutions and auditors.
  • Recording grant set up and close transactions.
  • Providing assistance with post award grant monitoring.


Provide Deferred Giving Accounting Services
  • Preparing electronic fund transfers to third-party administrators for distributions and new contributions.
  • Recording monthly/quarterly activity.
  • Assisting in compliance reporting.


Assist with Internal/External Audits
  • Preparing audit schedules.
  • Providing assistance and responses to auditors.


Other
  • Assisting other Financial Services teams.
  • Maintaining and processing mortgage loans and submitting related required annual returns to regulatory agencies.
  • Participating in cross-training with other team members and other Financial Services teams.
  • Contributing to the team functioning as a consistent, knowledgeable and reliable resource for our constituents.
  • Performing other duties as assigned.

  • Proficient in Microsoft Office products, with demonstrated strong skills in Excel.
  • A demonstrated self-starter, with strong analytic, problem-solving, critical thinking and research skills.
  • Ability to communicate clearly in writing and orally. Strong customer service orientation and ability to work well with diverse internal and external constituents in a team-oriented environment.
  • Demonstrated time management, multi-tasking skills and ability to meet deadlines in a busy environment.
  • Ability to independently organize, prioritize and carry out responsibilities.
  • Proficiency in various accounting software systems and other information technology, and the ability to learn new software.
  • Ability to share knowledge and information and to learn new tasks.
  • Project a professional image through dress, demeanor and office environment.
  • Demonstrated ability to maintain confidentiality of sensitive information.
  • Possession and maintenance of a valid California Driver License and a DMV record that meets the requirements set by the College's insurance carrier. Successful completion of criminal, DMV and credit background checks.


QUALIFICATIONS

Education/Training:
  • Minimum education requirement is a Bachelor's degree in accounting or related field, or an equivalent combination of education and experience.


Preferred Qualifications:
  • Accounting experience in a non-profit organization or institution of higher education, (preferred)


Work Schedule: The regular hours for this full-time position are 8 a.m. to 5 p.m., Monday-Friday. Holiday, weekend and evening work hours may be required. Regular hours may vary due to the needs of the organization or business unit.

COMPENSATION

Pay : The pay rate for this position is commensurate with the qualifications required for the position, from $6,250-$6,833.33 monthly.
