Description

The Office of the Vice Provost for Enrollment Management at the University of Tennessee, Knoxville, invites applications and nominations for Assistant Vice Provost for Enrollment Management Operations.

The Enrollment Management (EM) division comprises more than 150 full-time staff who serve our students through the following departments and functions: Undergraduate Admissions, International Recruitment, One Stop, Financial Aid and Scholarships, University Registrar, and EM Communications.

 

General Description:

The Assistant Vice Provost (AVP) for EM Operations will be responsible for the development, implementation and assessment of data driven strategies that inform and support the Division of Enrollment Management and the University’s undergraduate strategic enrollment plan. Additionally, the AVP will oversee efforts to improve processes and related policies, increase efficiencies and effectiveness across the Division of Enrollment Management in daily service efforts and long term enrollment strategies. 

 

Duties and Responsibilities:

The AVP will ensure that the Division is effectively leveraging technology, utilizing data for decision making at all levels, implementing well researched and innovative business practices, documenting all policies, practices and procedures, maximizing vendor relationships, and strengthening operational practices between the Division and campus partners to meet institutional enrollment goals and improve the student experience. The AVP will supervise multiple units, including the University Registrar, Financial Aid and Scholarships, One Stop, EM IT staff, the EM Research and Analysis team, and will oversee daily systems and operations for the Division. Operational oversight includes but is not limited to the Division’s CRM, application and scholarship processing; technology needs, initiatives and integrations. This position bears responsibility for high-level strategic planning as well as oversight for technological and operational integrations that support recruitment and retention goals. Acting as a collaborator and consultant, this individual will work with EM Leadership, staff across the EM Division as well as closely with campus partners, academic departments and external consistencies to meet the short and long term goals of the division. The Knoxville campus of the University of Tennessee is seeking candidates who have the ability to contribute in meaningful ways to the diversity and intercultural goals of the University.

 

Qualifications:

Minimum Education:   

• Master’s degree

 

Required Experience:            

A minimum of five years of experience in operations, enrollment management, admissions, financial aid, registrar, recruitment or related field. Demonstrated outcomes in process improvement, operations, change management, strategic planning, and data analysis. A minimum of five years of supervisory experience is required. Experience using Customer Relationship Management (CRM) and document imaging systems, in particular. Understanding of current issues and trends in Admissions and Enrollment Management is required. In-depth understanding of complex organizations, policies, process and systems supporting student-centered and/or customer-centered operations is necessary to be successful in the role.

 

Preferred Experience:   

Previous experience and knowledge of guidelines pertaining to higher education and admissions policies is highly desired. Experience using student information systems, is preferred. Experience with statistical analysis, enrollment modeling, and analytics/reporting software.

Job Functions:

The Assistant Vice Provost will exhibit competency in the following areas:

• Management and oversight of enrollment management operations: operational functions and processes; ongoing technology assessment and review of processes to ensure high level of service and maximum efficiency; identify and implement new technology that directly impacts efficiencies and service to students; review and update annual operating policies; elimination of process and operating silos; workflow documentation.

 

• Leadership and supervision: supervision and management of EM units including University Registrar, Financial Aid and Scholarships, One stop, EM’s research and analysis unit and IT team; serve as a member of the EM leadership team; help shape division resources to ensure effective operations. Liaison to campus partners: serve as direct point of contact on reporting and analysis projects on behalf of EM; serve on campus committees related to technology, operations and reporting; build collaborative relationships across campus to improve the UTK student experience.

 

• Strategic enrollment planning, research and analysis: lead ongoing research and assessments of plans and outcomes; management of key performance indicators (KPI’s), reporting tools and analysis projects in support of strategic plans; data-driven strategy; historic and future demographic assessments.
