The Claremont Colleges Services (TCCS) is the central coordinating and support organization for a highly regarded cluster of seven independent colleges known as The Claremont Colleges. TCCS with a staff of 300, provides exceptional shared services to 9,000 students, and almost 3,600 faculty and staff. TCCS staff work in both student-facing services as well as administrative and operational services. The Senior Benefits Administrator (Retirement) is responsible for the daily administration of the Academic Retirement Plans 403(b) and Deferred Compensation Plans 457(b), ensuring that the plans comply with government regulations, overseeing related operations, and creating reports and other documents to aid in the administration, assessment, planning and reconciliation of the plans. This position will cross train in Health and Welfare Benefit plans.

ESSENTIAL FUNCTIONS
  • Responsible for administering the retirement plans for The Claremont Colleges consortium and ensuring compliance in accordance with company and governmental guidelines and regulations.
  • Serve as a subject matter expert and respond to all inquiries and requests for information on the retirement benefit plan policies, procedures, and legal requirements from all levels of the organization, including participants, management, and committees.
  • Develop, manage, and conduct group benefits presentations and individual discussions regarding retirement plans for staff, faculty, and the retirement plans committee. Coordinate, manage, and market an annual schedule of presentations and events with plan vendors.
  • Acquire, create, and distribute relevant information and documentation to plan participants.
  • Create and manage benefit notifications to participants.
  • Stay up to date on current legal and regulatory changes, trends, and other developments affecting retirement plans. Make recommendations and adjustments to communications, website, policies, procedures, and plan documents as appropriate.
  • Partner with the Director of Benefits Administration to design, oversee, and continually assess efficient and effective workflows for plan enrollment, plan administration, and benefit delivery processes.
  • Provide exceptional customer service to plan participants, including assisting with resolving issues, facilitating complex or sensitive transactions, one-on-one counseling, responsive communications to inquiries, and providing resource materials.
  • Collaborate with human resources and business officers across the consortium on the design of administrative processes for the plans.
  • Conduct nondiscrimination testing for retirement plans, provide information requested by auditors for timely completion of audits, coordinate with vendors to complete other government filings (e.g., form 5500).
  • Monitor 403(b) retirement accounts of highly compensated employees and adjust as necessary to comply with IRS compensation and contribution limits.
  • Create/run and analyze reports from the payroll system for use in reconciliation of benefit discrepancies and to assist in tracking enrollment into the benefit/retirement plans.
  • Perform varied and technical duties in support of benefits administration involving the compiling of information from a variety of sources and preparing data for special projects and reports.
  • Ensure that retirement plan funding requirements are satisfied and instruct trustee to transfer funds as necessary to meet plan obligations.
  • Perform other related duties as assigned.


Work Schedule : The regular hours for this full-time position are 8:00 a.m. to 5:00 p.m., Monday through Friday for 12 months annually. May be required to work holiday, weekend, and/or evening hours. Regular hours may vary due to the needs of the organization or business unit. This position is eligible for a hybrid work schedule to work partial hours remotely as approved by the supervisor.

COMPENSATION

Pay : The pay range for this position is $7,500 to $8,166 per month.

Education/Training : You have a high school diploma or the equivalent. Preferably, you have a bachelor's degree from an accredited institution and/or a CEBS (Certified Employee Benefits Specialist) certification.

Experience : You have five to seven (5-7) years of retirement benefit plan experience is required. You must demonstrate experience providing exceptional customer service.

Competencies :
  • Expert knowledge of applicable retirement plans, ERISA, DOL, and relevant IRS regulations.
  • Advanced interpersonal skills with the ability to clearly explain complex information and concepts in simple terms.
  • Proficiency with Microsoft Office Suite, particularly Excel. Create and work with complex spreadsheets and formulas.
  • Reconcile complex discrepancies.
  • A demonstrated self-starter, with strong analytic, problem-solving, critical thinking and research skills.
  • Maintain strict confidentiality and ensure control of confidential files and data.
  • Communicate effectively and efficiently in English in writing and orally with diverse individuals at all levels in the consortium. Spanish language skills are a plus.
  • Establish and maintain cooperative and effective working relationships with others.
  • Read, interpret, apply, and explain rules, regulations, policies, and procedures.
  • Use computerized databases to pull data and reports.
  • Create comprehensive and complex reports and communications using proper business writing, metrics, tables, and diagrams as needed.
