Production Office Coordinator

As the production office coordinator, you must demonstrate insightful and advanced thinking while managing the production calendar and distributing current shoot information. In this role, you will act as the point of contact for the legal department, process invoices, track financial expenditures, and be responsible for new-hire training. The coordinator is responsible for updating databases and documents with detailed consistency, directing the work study program, assisting in securing crew members, coordinating building maintenance in a timely fashion, and overseeing logistics for signature events. As the production office coordinator, you will track progress of all projects and update information daily, work in conjunction with the executive media team to provide resources and support, maintain a working knowledge of inventory, and improve processes to be more efficient.

The ideal candidate will have mastered routine assistance duties and be eager to excel in a production management environment. You must act as an exemplary representative by upholding the values, quality, and unique brand of the institution. This is a one-year position with the opportunity to extend employment.

Minimum Qualifications: 
  • Must have an enthusiastic and outgoing attitude with professional project management and people management
  • Must have strong organizational, written, interpersonal communication, and multitasking skills
  • Must be driven and present an eagerness to learn and grow with a demonstrated understanding of the functionality of social media platforms
  • Requires computer proficiency for editing, refining, and guaranteeing error-free documents
  • Must have knowledge of OneDrive, Google Suite, Microsoft Office 365, and ClickUp
  • Requires motivation to work in a collaborative environment while simultaneously leading projects independently

Preferred Qualifications:
  • Previous experience in visual communications, photography, film and television, journalism, advertising, academic environment, and/or production management
  • Basic knowledge of entertainment operations including videography, media management, and postproduction
  • Experience working with software such as Concur, E-Commerce, Slack, and Adobe Creative Cloud
  • Higher education degree and/or equivalent job experience

Certificates, licenses, and registrations:
  • Driver’s license

Travel Required: Less than 10%

Work Hours: The university work week is Sunday through Saturday. Most offices are open Monday through Friday from 8:30 a.m. to 5:30 p.m. To accommodate business needs, employees may be assigned to other work days and/or hours, including weekends and evenings.
