POSITION SUMMARY

The Associate Director for Enrollment Operations is responsible for managing technical and operational functions, as well as managing key technology solutions, in Enrollment Marketing and Operations. Serves as a subject matter expert in the design of technology strategies that streamline and optimize admission and enrollment functions. Manages a diverse set of software systems, database integrations, and technical operations to support recruitment, admission, and yield.

Develop and manage work plans for enrollment operations analyst who focuses on enrollment business processes, analysis of systems and data, configuration of database systems, and ongoing maintenance to support the division's enrollment operations. The Associate Director's work will play a critical role in fulfilling OHIO's commitment to reducing barriers to education, supporting an inclusive campus community, and building a sense of belonging for all.

KEY RESPONSIBILITIES

Technical Operations and Database Systems Management: In coordination with division leadership, evaluate, design, and implement system tools and serve as a subject matter expert in Admissions, Transfer Credit and Campus Community modules of PeopleSoft Campus Solutions. Support Enrollment Marketing and Operations by crafting strategies to leverage these systems to meet recruitment, admission, and yield needs. Design and test admissions data models and integrations across various systems including Slate CRM and Oracle Analytics Server and the data warehouse.

Leverage techno-functional knowledge of business processes and system capabilities to investigate, architect and implement new product features in the constituent relationship management system and relevant systems to meet the ongoing operational needs necessary to support the University's enrollment goals. Develop and document testing strategies to verify new or upgraded functionalities within Admissions, Transfer Credit and Campus Community modules of PeopleSoft Campus Solutions, ensuring systems perform as expected; manage the execution of these testing approaches by overseeing progress and participating in the testing process.

With an in-depth understanding of enrollment business practices, business processes and database structures within PeopleSoft Campus Solutions, as well as a solid understanding of reporting platforms and SQL, develop routine and special operational and analytical reports using a variety of available querying, data exporting, and reporting tools across multiple systems to support recruitment, admission, and yield strategies. Build and maintain complex queries and reports using available reporting tools within the Slate CRM, OBIEE reporting and other associated systems.

Design, test, and support routine and ad-hoc integrations across various systems. Strategically use data automation functionality to maximize operational efficiencies, including the use of APIs and database rules. Develop and implement strategies to optimize duplicate resolution and ensure data integrity.

Maintain in-depth knowledge of various internal and third-party software functionality, industry best practices, and Ohio University enrollment business processes, particularly focusing on Admissions, Transfer Credit and Campus Community modules within PeopleSoft Campus Solutions, OBIEE and Slate systems. Research product features and make recommendations to Enrollment Marketing and Operations leadership to achieve strategic objectives.

Maintain a complete and thorough understanding of the extensive admissions-related information stored in the various database application systems utilized by the University, including advanced knowledge of database fields and tables in Admissions, Transfer Credit and Campus Community modules of PeopleSoft Campus Solutions and what functional information these structures represent. Provide counsel to other offices, such as Institutional Effectiveness and Analytics and the OIT Information Delivery team, regarding database structures and how data should be accessed and utilized. Lead efforts on behalf of Enrollment Marketing and Operations to define individual data points in both functional and technical contexts and document such definitions.

Collaborate with the Office of Information Technology, University Accessibility Services, University Communications and Marketing, and third-party vendors to ensure compliance of accessibility standards and OHIO branding in the university's CRM, other university systems, and third-party platforms.

General Leadership, Management, and Supervision: Develop and manage work plans for enrollment operations analyst who focuses on enrollment business processes, analysis of systems and data, configuration of database systems, and ongoing maintenance to support the division's enrollment operations. Develop and direct work plans for the improvement of business processes and system enhancements and mentor staff on complex technical challenges.

Manage technical solutions for a variety of complex systems issues or tasks for technical and communication professionals, academic unit personnel and other end users. Interpret functional requirements and translate into technical solutions. Manage a variety of medium to large sized, moderately to highly complex projects related to admissions database systems and other operational needs. Identify and understand business needs and document requirements; facilitate business process redesign as necessary. Conduct an analysis of existing and desired processes to evaluate end-user needs for new or updated functionality in database applications. Research and analyze potential technical possibilities based on functional needs and research, design, and implement the chosen solution.

Cultivate and maintain productive and collaborative relationships with third-party vendors and various university divisions, offices, and departments. Serve as a subject matter expert in analyzing the operational needs of constituents, make industry best-practice recommendations, inform and deliver system solutions, and provide opportunities for assessment and evaluation of delivered solutions.

Minimum Qualifications

Master's degree is required by start date. Applicants with a bachelor's degree by start date and equivalent experience will also be considered.
At least three years of related work experience.
At least one year of management experience.
SQL knowledge.

Preferred Qualifications

Advanced and continued knowledge of technology, especially database information applications.

Experience with Technolutions Slate, PeopleSoft Campus Solutions, Hyland OnBase, Oracle Business Intelligence, Microsoft Exchange and Office, and Active Directory preferred.

Experience with database management, including SQL queries, data exports and imports, data integrity, etc.

Knowledge of web technologies, such as HTML, CSS, JavaScript, XML, etc.

Ability to communicate technical information to non-technical personnel and to communicate effectively, both orally and in writing.

Experience in managing complex technical projects to completion. Experience working in a paperless environment preferred. Experience with business processes improvement/redesign.

Pay Rate: Based on extensive benchmarking data, the Associate Director for Enrollment Operations position is mapped to Pay Grade CA&P 19 at OHIO, with a target hiring range of $68,299-$80,252. The exact base salary for the selected candidate will be negotiable, commensurate with education and experience, and competitive in the field within the context of similarly situated positions at public universities nationally.
