Academic Administrative Assistant

As the academic administrative assistant, you will provide support to the dean of the department by conducting business such as scheduling appointments, maintaining their calendar, and greeting visitors to the dean’s office.This is a high-level support position in which the ideal candidate must complete tasks that require confidentiality, accuracy, punctuality, responsiveness, and agility. The ideal candidate also must display a commitment to discipline, honesty, and integrity.

Responsibilities in this position include answering and screening phone calls, acting as a liaison between the dean and various departments, coordinating and attending meetings, preparing agendas and facilities, arranging travel accommodations, and compiling information for reports and documents. As the assistant, you will prioritize written departmental communications, coordinate new faculty interviews, prepare rosters, organize and maintain files, and assist with scheduling concerns and peer observation assignments.

As the academic administrative assistant, your departmental duties will include assisting students in multiple capacities, supporting the associate dean with communications and relationship building, helping with scheduling and donations, and coordinating student critiques. Additionally, you will research needed materials, promote department events, andassist in projects related to the End of Year Show.

Minimum Qualifications:

  • Bachelor’s degree in a creative field or education
  • Demonstrated success working with executive-level personnel
  • Excellent written and verbal communication, organizational skills, multitasking, deadline management, people management, collaboration, and computer skills
  • Project management experience including the ability to stay on and ahead of tasks


  • Ability to work well independently and collaboratively


Preferred Qualifications: 

  • Three to five years administrative experience
  • Knowledge of Adobe Creative Suite


Certificates, licenses, and registrations: Driver’s license

Travel Required: Less than 10%

Work Hours: The university work week is Sunday through Saturday. Most offices are open Monday through Friday from 8:30 a.m. to 5:30 p.m. To accommodate business needs, employees may be assigned to other work days and/or hours, including weekends and evenings.
