POSITION SUMMARY

The Associate Director of Admissions Application Management oversees and directs the management, processing and review of more than 40,000 undergraduate admissions applications and their associated supporting materials annually across all Ohio University campuses. The incumbent provides leadership in the contiguous evaluation of application processing and review processes and collaborates with Enrollment Marketing and Operations in the development of strategies to leverage technology and systems that meet application and admission needs for all application centers university-wide. Reporting to the Assistant Vice President for Enrollment Management and Executive Director for Undergraduate Admissions, the incumbent manages, supervises, and coordinates work plans for a team that includes a Senior Assistant director, an Assistant Director, a Senior Records Manager, an Operations Analyst, and multiple Records Management staff. This position serves as an active member of the Undergraduate Admissions Leadership and Recruitment teams.

KEY RESPONSIBILITIES

Management of Application Processing and Review: Strategically analyzes, evaluates, prioritizes, and oversees implementation of operational objectives pertaining to application processing and application review, while working closely with other senior team mangers, graduate and medical colleges, regional campuses and centers, and administrative and academic University departments.

Evaluates, designs, and implements best practices and strategies that leverage available staffing, systems and technology infrastructure to prioritize application processing and review in alignment with strategic goals. Ensures timely load balancing and processing of applications across all OHIO campuses. Designs and directs quality assurance protocols to optimize protection of sensitive information and minimize risk to the University.

Oversees day-to-day processing of undergraduate admissions applications and supporting materials, monitors progress through analytics and operational reports, troubleshoots processing issues, develops new business processes and enhances existing processes. Plans and directs the work of the Application Management team in the design and implementation of strategies that leverage available systems, data, and technology. Oversees the development of tools to track all processing efforts to better manage needs, work in progress, results, and outcomes.

Implements quality assurance measures and monitors quality, accuracy and workloads to ensure consistent compliance with state and federal regulations, university policies, and industry standards and best practices. Analyzes current business practices and procedures to assess efficiencies.

Directs the selective, holistic application review processes conducted by reviewers office-wide. Manages the utilization of new and existing technologies with focus on admissions strategies including planned application review, application and decision communication, decision release, queue management and reporting.

Advises and assists other university entities in developing strategic approaches to application review and administers initiatives by analyzing trends in application volume, workload capacities, and staffing models. Monitors application review progress and direct load balancing changes. Oversees comprehensive application review training for new and veteran staff.

Collaborates with the Enrollment Marketing and Operations team to design and implement creative and innovative processes and procedures utilizing new and existing technology for application processing, review, and reporting as well as support specialized application, selection, and other enrollment processes such as University honors and scholars programming, early assurance programs, and talent.

Oversees the development, maintenance, and execution of documentation and training on application management and selection processes.

Staff Management, Supervision and Training: Serves as a member of the Undergraduate Admissions leadership team. Plans, directs and oversees the work of a diverse team, including a Senior Assistant Director and their processing teams, an Assistant Director, an Operations Analyst, and a Senior Records Management Specialist.

Coordinates with leadership to ensure that strategic goals are met and that the processing of over 40,000 undergraduate applications per year is completed efficiently and effectively while leveraging new and existing technology that supports recruitment, admission and yield goals.

Determines staffing plans and adjustments. Oversees hiring of temporary personnel employed for application evaluation, data entry and records management.

Forecasts and develops budget to support the operational needs and staffing plans.

Recruitment and Admission: Serves as a member of the Undergraduate Admissions Recruitment Team. Represents the University both on- and off-campus to a wide variety of constituents, including prospective students and their families, secondary and postsecondary school personnel, community-based organizations, and other individuals or organizations involved in the college selection process.

Counsels and advises constituents on a range of admissions and enrollment processes. Maintains thorough knowledge of trends in the field of admissions, and advises constituents on the breadth and depth of opportunities available at OHIO.

Evaluates applications and supplemental materials for the purposes of making admissions decisions. Conducts thorough, holistic, selective review of an applicant's candidacy. Determines necessary documentation to support an admission decision and recommends appropriate alternative pathways when admission cannot be offered. Other duties as assigned

Minimum Qualifications

Master's degree is required by start date. Applicants with a bachelor's degree by start date and equivalent experience will also be considered.

Minimum of 3 years related work experience.

Minimum of 1 year of staff management experience.

Pay Rate: The Associate Director for Application Management is mapped to Pay Grade CA&P 17 at OHIO, with a target hiring range of $51,281 - $59,614. The exact base salary for the selected candidate will be negotiable, commensurate with education and experience, and competitive in the field within the context of similarly situated positions at public universities nationally.
