The Claremont Colleges Services (TCCS) is the central coordinating and support organization for a highly regarded cluster of seven independent colleges known as The Claremont Colleges. TCCS with a staff of 300, provides exceptional shared services to 9,000 students, and almost 3,600 faculty and staff. TCCS staff work in both student-facing services as well as administrative and operational services. Our numerous departments are located throughout The Claremont Colleges campus in the beautiful city of Claremont, California.

ABOUT THE POSITION:

The Claremont Colleges Services seeks a confident, organized, friendly, and energetic individual for the position of Academic Coordinator for the Center for Teaching and Learning (CTL).

The Coordinator will support the Center for Teaching and Learning (CTL) in promoting a faculty culture of life-long learning and commitment to effective and excellent teaching, enabling, and supporting faculty to learn about, implement and advance evidence-based teaching and learning practices and technologies in every stage of their careers, and building institutional capacity for supporting excellence in teaching and learning.

The Coordinator role is an exciting opportunity for an experienced educational developer to help create something that will have significant impact on institutions known for highly personalized instruction and rich interactions between its faculty and students. This position requires initiative, creativity, good judgment, and some independent decision-making.

Specific duties include:

Provide administrative support for the Director of CTL and staff
  • Perform administrative tasks for the Director of CTL and center staff.


Event planning and organization of events for faculty
  • Work with various campus constituents to schedule, plan, and promote workshops and seminars for faculty.
  • Manage guest lists for CTL workshops and seminars.
  • Maintain a database of faculty, event participation and use of CTL services.
  • Secure venues and catering for CTL events.
  • Follow up with event attendees to share resources and capture assessment data.


Publicity and Outreach
  • Maintain social media presence.
  • Maintain the CTL web site and produce promotional materials.
  • Uploading CTL video content to CTL YouTube channel.
  • Send monthly newsletter and manage subscribers.
  • Coordinate with other campus offices to develop events and resources to different faculty constituencies.


Operations and Program Management.
  • Field requests from faculty and administrators.
  • Manage CTL resources and loaning.
  • Collect data, compile statistics, and maintain thorough documentation on all CTL programs and services for assessment and reporting.
  • Manage resources and CTL created documents and files for archival purposes.
  • Pay invoices and track expenditures.
  • Assist the Director with the administration of grants and budgets.
  • Coordinate travel and accommodations for the Director and Associate Director to conferences, and for invited guests and speakers to CTL events.
  • Collaborate with the CTL Advisory board, schedule advisory board meetings, call for agenda items, and capture insights and decisions from meetings.


Work Schedule : This position may be filled as a full-time or part-time position working between 20 and 40 hours per week scheduled between 9:00 a.m. to 5:00 p.m., Mondays through Fridays. Some work may be completed remotely. May be required to work holiday, weekend, and/or evening hours. Regular hours may vary due to the needs of the organization or business unit.

COMPENSATION

Pay : The hourly rate for this position is competitive and commensurate with the duties, responsibilities, and qualifications required for the position, from $27.00 to $35.00 per hour.

Education : A bachelor's degree, or the equivalent in a combination of education and additional experience in a closely related field beyond the minimum required.

Experience : At least one (1) year of professional experience in a project management, administrative assistant, or closely related role.

In addition, you:
  • Excellent written, oral, and communication skills in English with proper grammar and spelling. Able to compose a variety of documents and communications (correspondence, social media posts, marketing messages, narrative, statistical, and/or analytical reports, etc.) that are clear, logical, concise, and mindful of the target audience.
  • Excellent interpersonal skills and a service-oriented approach to individuals at all levels and across all disciplines and campuses.
  • Proficiency with word processing, spreadsheet, and document management software.
  • Able to use multiple social media platforms and create content.
  • Able to problem solve independently, and in collaboration with others.
  • Able to be responsive and work quickly, while maintaining focus and effectiveness.
  • Able to monitor and estimate expenditures to keep projects within allocated budget.
  • High-level of organization and ability to initiate, juggle, and complete tasks on time despite interruptions.
  • Able to handle sensitive situations with discretion and to maintain confidentiality.
  • Able to interact sensitively and diplomatically with individuals from diverse backgrounds.
  • Able to seek out information, expertise, or assistance as needed.
  • Able to gather and analyze data and prepare clear, concise, and logical reports.
  • Attention to accuracy, precision, and consistency.

  • Some experience working in higher education.
  • Event management experience.
  • Proficiency with Microsoft Word, Microsoft Excel, Google Docs, Google Sheets.
  • Experience fostering work environments that are supportive and collaborative.
  • Have a high level of emotional intelligence and ability to communicate convincingly with others.
  • Enthusiasm for learning new things outside of one's own expertise.
  • Possess resilience, flexibility, and creative problem-solving skills when things don't go as planned.
  • Experience with Google Forms, SurveyMonkey, or other online survey tools.
  • Experience with web site management using WordPress.
  • Experience with Canva, Adobe InDesign, Photoshop, Illustrator, or other software to create promotional print and online materials.
