Administrative Coordinator

As the administrative coordinator you will be responsible for the management of project timelines and maintaining the operational dashboard matrix for the VP for SCAD Savannah and completion of all financial paperwork for vendor purchasing. Managing contacts, travel logistics, and itineraries is also required. In this position you will manage the SCAD SERVE fellow application process while overseeing the survey process for both it and SCADcares from beginning to end with institutional effectiveness including forming all questions, creating a distribution list, and gathering and communicating data and results. Processing city permits for all SCAD SERVES initiatives is vital to the job.

The administrative coordinator is responsible for the master presidential reporting document to ensure all team members are inputting information accurately and timely and is responsible for all attendance. You will act as a liaison with legal on all service-provider requests and contracts for consultants, contract vendors, artists, alumni guests, and more. In this role you will be responsible for handling all new-hire needs and ensure the office is fully stocked with necessary operational supplies on a regular basis. This position is responsible for maintaining photo archives, inventory, and organization supplies for department projects.

The ideal candidate is proficient in Salesforce to assist SCADcares and can manage all calendars including AVP for student and alumni engagement, the VP for SCAD Savannah, and the VP for student financial services and strategic initiatives. This position is also responsible for managing domestic and international travel for all three of the above-mentioned departments.

Minimum Qualifications:
  • Bachelor's degree
  • Five or more years of related experience
  • Strong written and verbal skills
  • High level of organization and attention to detail

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Cognos, Concur, Dropbox, Google Drive
  • Ability to work independently and within a team framework

Travel Required: 10-20%

Work Hours:The university work week is Sunday through Saturday. Most offices are open Monday through Friday from 8:30 a.m. to 5:30 p.m. In order to accommodate business needs, employees may be assigned to other workdays and/or hours, including weekends and evenings.
