The Claremont Colleges Services (TCCS) is the central coordinating and support organization for a highly regarded cluster of seven independent colleges known as The Claremont Colleges. TCCS with a staff of 300, provides exceptional shared services to 9,000 students, and almost 3,600 faculty and staff. TCCS staff work in both student-facing services as well as administrative and operational services. Our numerous departments are located throughout The Claremont Colleges campus in the beautiful city of Claremont, California.

ABOUT THE POSITION:

The Financial Services department of The Claremont Colleges Services (TCCS) seeks a knowledgeable, diligent, and reliable professional the position of Staff Accountant. The Staff Accountant provides a spectrum of financial accounting services to constituents. Specific duties include:

Provide General Accounting Services (70%-40%)
  • Prepare and review journal entries.
  • Monitor, analyze, and assist in daily cash management duties.
  • Process bank activity, perform bank account reconciliations, and follow through.
  • Monitor and reconcile assigned balance sheet accounts and following through.
  • Monitor unassigned balance sheet accounts to ensure accounts are reconciled, by other departments, on a periodic basis.
  • Assist departments with reconciling accounts.
  • Maintain, reconcile, and process fixed asset accounting records/transactions.
  • Monitor and capitalize capital projects.
  • Maintain, reconcile, and process debt service accounting records/transactions.
  • Prepare payments of sales and use tax accrual and tax returns to the state and participating in related audits.
  • Prepare and process month, quarter, and year end general ledger closing and related transactions.
  • Maintain monthly financial reports.
  • Assist in compliance and regulatory reporting.
  • Follow and enforce all applicable policies and procedures.


Provide Investment Accounting Services (40%-10%)
  • Maintain investment sub-ledger accounting system, if applicable.
  • Maintain and reconcile asset accounting for trust and institutional investments.
  • Maintain and reconcile unitized pooled investments.
  • Calculate monthly and quarterly unit market values for pooled investments.
  • Reconcile investment custodian accounts.
  • Calculate and record spending policy income and gain appropriations.
  • Monitor and reconcile settlement of pool cash balances for pooled investments
  • Process and record investment trades and purchases.
  • Process, record, and reconcile non-cash gifts.
  • Produce monthly and quarterly investment accounting reports for the business offices.


Provide Grant Accounting Services (40%-10%)
  • Create awards in the financial system for Federal and conditional Private grants.
  • Review payment requests spend requests, and journal entries for allowability of charges under grant terms.
  • Prepare and process billing invoices to grantors.
  • Process, monitor, and reconcile grant drawdown requests.
  • Monitor payments and following up when necessary.
  • Prepare post-award and ad-hoc status reports for grantors, institutions, and auditors.
  • Record grant set up and close transactions.
  • Assist with post award grant monitoring.


Provide Deferred Giving Accounting Services (20%-10%)
  • Prepare electronic fund transfers to third party administrator for distributions and new contributions.
  • Record monthly and quarterly activity.
  • Assist in compliance reporting.


Assist with Internal and External Audits (5%)
  • Prepare audit schedules. Assist and respond to auditors.


Other (5%)
  • Assist department staff as needed.
  • Participate in cross training.
  • Contribute to the team functioning as a consistent, knowledgeable, and reliable resource for our constituents.


Work Schedule : The regular hours for this full-time position are 8:00 a.m. to 5:00 p.m., Monday through Friday. May be required to work holiday, weekend, and/or evening hours. Regular hours may vary due to needs of the organization or business unit.

Background Checks : This position requires acceptable results on criminal history, driving history, and credit history checks.

Pay : The monthly salary for this position is competitive and commensurate with the duties, responsibilities, and qualifications required for the position.

ABOUT YOU

You have positive attitude, are highly reliable, and are skilled at managing a fast-paced workload while maintaining accuracy and meeting your deadlines.

Education and Experience : You have a bachelor's degree in accounting or a related field, OR the equivalent in a combination of education, training, and experience.

You must have a valid California Driver's License and driving record that meets the requirements set by our automobile liability insurance carrier.

In addition, you have:
  • Initiative and strong analytic, problem solving, critical thinking and research skills.
  • The ability to communicate clearly and concisely in writing and orally in English.
  • Strong customer service orientation.
  • The ability to work productively and congenially with diverse internal and external constituents in a team-oriented environment.
  • Proven time management skills, including the ability to switch tasks quickly, manage interruptions, and meet deadlines in a fast-paced environment.
  • Proven proficiency with recent versions of the Microsoft Office suite, including advanced Excel skills.
  • The ability to independently organize, prioritize and carry out responsibilities. Proficiency in various accounting software systems and other information technology, and the ability to learn new software.
  • The ability to share knowledge and information and to learn new tasks.
  • Th ability to project a professional image through dress, demeanor, and office environment.
  • Proven ability to maintain strict confidentiality of sensitive information.


If you have any of the following, it's a plus!
  • Paid accounting experience
  • Accounting experience at a nonprofit or higher education organization
  • Experience working with grants
