Assistant to Chief of Staff

As the assistant, you will be the primary point of contact for the chief of staff and will independently research, prioritize, and handle matters addressed to the executive director. You will proactively create and manage effective workflows and communications, including special projects, and will prioritize written communication and business as it relates to the chief of staff (e.g., reading and routing incoming mail, composing outgoing correspondence). You will also maintain the chief of staff’s calendar, including scheduling and coordinating meetings, travel, transportation and accommodations, catering, events, and more.

Among other duties, you will also attend meetings; analyze, organize, and update office operations procedures; create and manage expense reports; run official errands; and handle general administrative office duties such as submitting work orders, ordering supplies, and conducting research for inclusion in reports.

The successful candidate thrives as both an independent and team-oriented contributor. Exceptional written and verbal interpersonal communication skills are paramount, as well as a keen sense for customer relations. The candidate should demonstrate a high degree of organization and attention to detail, along with proven experience managing multiple high priority projects.

Minimum Qualifications:
  • Bachelor's degree in a relevant discipline
  • Minimum of two years’ professional experience, including with confidentiality matters
  • Proficient with Microsoft Office (Word, Excel, Access) and/or other databases

Certificates, licenses, and registrations: Valid driver's license

Work Hours:The university work week is Sunday through Saturday. Most offices are open Monday through Friday from 8:30 a.m. to 5:30 p.m. In order to accommodate business needs, employees may be assigned to other workdays and/or hours, including weekends and evenings.
