Job Description Summary
The Associate Director, PhD Career and Professional Development is part of the Graduate Student/Postdoctoral Fellow Team at Career Services and advises PhD students, postdocs, and alumni from 7 of 12 schools at Penn: Annenberg, School of Arts and Sciences, Carey Law School, Perelman School of Medicine, School of Engineering and Applied Science, Weitzman School of Design, and the Wharton School. To support the career and professional development of PhDs and postdocs, this role focuses on building and cultivating relationships with key stakeholders across campus and beyond including faculty, alumni, and employers and enhancing career opportunities for PhDs through experiential learning opportunities. The Associate Director, PhD Career and Professional Development will actively contribute to programming aimed to support PhDs and postdocs pursuing faculty careers and careers beyond academia and reports to the Senior Associate Director of the Graduate Student/Postdoctoral Fellow Team.

Job Description

  • Along with the Graduate Student/Postdoc team, advise graduate students, postdocs, and graduate alumni on all aspects of career planning and development through individual career advising appointments, mock interviews, and same-day advising hours.
  • Create and implement engaging, informative, and actionable programs, including workshops, panels, and other events on topics ranging from exploring careers to preparing for the faculty job search to interviewing and negotiating job offers.
  • Plan, manage, and implement the annual PhD Career Exploration Fellowship (CEF) program, including overseeing engagement with new and returning hosts, fostering professional development and community-building opportunities for Fellows, and assessing overall program effectiveness.
  • Hire and supervise a PhD student to work as our PhD Professionalism Fellow.
  • Establish and maintain relationships with faculty, primarily job placement officers and graduate chairs in academic programs.
  • Collaborate with campus partners, including the Grad Center and the Center for Teaching and Learning, to develop and execute programming.
  • Design and implement two prep camps for doctoral students and postdocs.
  • Oversee communications of resources from the Center for Graduate Career Success, track engagement with their platforms by graduate and postdoctoral populations, and identify opportunities to increase campus usage.
  • Contribute to team and office priorities, including internal office committees and office-wide events such as career fairs.
  • An interest in designing approaches and building campus relationships to support the professional development of PhDs/postdocs.
  • Connect with underserved populations across campus through outreach to student groups and campus initiatives.
  • Design and create digital materials (blog posts, videos) for website.
  • Contribute to social media to both advertise and raise awareness of programming.
  • Represent Penn and Career Services in local and national conferences to stay current with industry standards and changes; revise programs to be innovative and raise the visibility of professionals in the field.
  • Participate in planning and implementation of the GCC annual career fair in 2024 to be held in Philadelphia.
  • Service on office or University Life working groups and/or committees


A master's degree is required and 2 to 3 years of experience or equivalent combination of education and experience. Understanding of and appreciation for graduate study (or lived experience!) at the master's, PhD, or postdoc level. Demonstrated cultural competence to work with a diverse range of students/postdocs, with the ability to support graduate students, postdoctoral fellows and alumni who are applying to a variety of careers. Interested in taking the initiative in evolving our approaches to graduate student career support as part of a multi-team office. Proven ability in program planning, communication and teamwork, with a strategic mindset to create value and impact beyond our office. A desire to create innovative programming reflecting the changing needs of students/postdocs and the world of work. Outstanding presentation skills in different formats and for different audiences, with comfort creating digital content and resources. Eagerness to learn and apply new technologies and tools, and a comfort with learning by doing. Quick learner, with ability to assimilate and retain large volumes of information on careers and fields of graduate study. Collaborative nature with a willingness to work across teams, divisions, and Schools. Demonstrated relationship building and networking skills. Effective multi-tasker, with ability to juggle multiple priorities. Positive, can-do attitude and outlook, with a sense of humor and high energy to support a positive office environment.

PhD preferred.

Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
