Job Description Summary
Interim Associate Director plan, manage, co-ordinate all operational aspects of two year, bi-weekly MBA program for 120+ executives including academic and non-academic aspects of program.
Oversee and supervise other administrative support to students and faculty. Advise students. Represent Department. Coordinate with colleagues in similar roles in Philadelphia and San Francisco program offices.

*This is a temporary employee position located in Philadelphia. The anticipated length of service for this position is August 1, 2022 through January 31, 2023 but can be terminated at any time.

Job Description

This position will be working with an executive MBA student class for the fall term of the first year of the two-year program. It is helpful to have a strong service orientation and a genuine interest in people.

  • Coordinate logistics leading to and during class weeks and exams. Communicate regularly with faculty and plan the semester schedule, materials, duplicating materials and distribution. Work with Wharton Facilities to request classrooms and special event spaces. Entering information into University systems that produce various class lists and create or oversee the production of a student class face book
  • Process and manage course materials orders, production and distribution each term course materials
  • Maintain relationships with a variety of suppliers and execute orders for campus supplies, textbooks, and course packs
  • Manage communication, visa letters, track student performance and communicate grades and lower ten percent rankings and class rankings and major tracking
  • Manage communication with Hotels, Conference Center and academic departments as required.

  • Primary advisor for students surrounding academics, campus activities and services, and events.
  • Produce and update various information resources needed throughout the academic year
  • Issue official documents upon student requests (e.g. confirmation of student status, visa support letters, tuition payments, etc.)
  • Attend all events, when necessary, as a representative of the Executive MBA Program
  • Develop activities to build community within the Executive MBA student population
  • Counsel and refer students to resources (internal and external)
  • Access confidential information in central and local systems

    This position will require strong written and verbal communication skills and the ability to effectively communicate with all levels of staff, faculty, administrators, corporate clients (student's sponsors) and the executive students. MBAExec staff are required to have a strong customer service orientation and will need to exercise sound judgment always maintaining a high level of professionalism and often confidentiality. Ability to juggle and manage multiple tasks and to prioritize between key deliverables is a must. Needs the ability to work in a collaborative team environment with colleagues from multiple departments and campuses. Bachelor's degree required; masters preferred. Several years of experience in administration required, preferably in an academic environment. Proficiency in Microsoft Office applications: Word, Excel, Power Point, Outlook (familiarity with systems used at the University and the Wharton School are a plus). Ability and willingness to work Saturdays and an occasional evenings and all in-person class weekends.

    KNOWLEDGE, SKILLS AND EXPERIENCE Superb customer service orientation within a multicultural environment. Excellent interpersonal, oral and written communication and presentation skills required. Proven ability to multi-task and set priorities effectively. Demonstrated organizational skills and a superior level of attention to detail. Proven ability to adapt to unpredictable work levels. Ability to work successfully as part of a team required Self-motivated, proactive and able to take initiative. Adeptness or awareness of technological solutions and ability to problem solve creatively is preferred.
