Job Description

Reporting to the School Visit Manager, the School Visit Coordinator is the primary contact for teachers to schedule and book online and onsite K12 visits and workshops for the Museum. This role schedules and books K-12 visits, greets, and orients K12 student groups, and serves as first contact for virtual programs. This role delivers K12 onsite workshops, and moderates online programs as needed. The coordinator also supports online and in-person teacher professional development by marketing programs and staffing activities. In coordination with Associate Director of Interpretative Programs, Assistant Director, Virtual Programs, Global Education Manager, and School Visit Manager, markets K12 visit programs by creating eblasts, monthly teacher newsletter, and other marketing materials and updating website.

Essential duties include, but are not limited to: (1) communicating with all K-12 groups and scheduling programs for their visits, (2) maintaining Altru database system for reservations and reporting revenue and attendance; (3) handling contracts, deposits, payments, refunds, as well as supply orders; (4) providing general clerical and marketing assistance for the Department, including maintaining the master program calendar, reviewing and updating the Learning Programs web materials, creating e-blasts and K12 teacher monthly newsletter, and maintaining department files; (5) providing onsite K12 workshops and moderating online programs as needed;(6) assisting with classroom and school preparation and greeting and orienting school groups.

Qualifications: Candidates for the School Visit Coordinator should have a high School diploma (required), with a BA/BS preferred or two to three years of experience or an equivalent combination of education and experience. Coordinator applicants must be organized, detail-oriented, and have excellent customer service skills; a background in an educational or museum setting is helpful, as the person in this role must communicate with educators regularly about programs and galleries. Excellent communication (both verbal and written) and interpersonal skills are necessary, as the coordinator regularly interfaces with the public and Museum staff/faculty. Also crucial to this role are the abilities to work well under pressure, manage multiple tasks, and meet deadlines. Finally, demonstrated proficiency in Microsoft Office Suite - Excel, Word, Outlook are necessary. Some evening and weekend work may occasionally be required.
