Job Description Summary
The Coordinator will provide administrative support across the newly implemented Inclusion Diversity Equity and Learner Research Experience (IDEAL XP) initiative of Undergraduate Medical Education (UME), Biomedical Graduate Studies (BGS) and Master/Certificate (MAC) programs. Efforts will include supporting programming and activities related to cultural affinity groups, wellness initiatives and community outreach programs, including those targeted at high school students.

Job Description

Cultural Affinity Groups

Coordinate and support student-led cultural affinity groups as needed and appropriate across UME, BGS and MaC programs. Coordinate monthly committee meetings and events. Market and assess programming for effectiveness. Assist students during leadership transitions, and support budget processes and procurement. Ensure action items are implemented. Communicate outcomes to all appropriate constituents.


Coordinate and support wellness programs as needed and appropriate for students in UME, BGS and MaC programs. Coordinate monthly committee meetings and events. Market and assess all programs for effectiveness. Assist students during leadership transitions, and support budget processes and procurement. Ensure action items are implemented. Communicate outcomes to all appropriate constituents.

Community Outreach

Facilitate trainee-led participation in community outreach programs. Support monthly committee meetings and events. Coordinate new programs and relationships to ensure fulfillment of the community outreach mission for the IDEAL XP. Implement training program for students involved in outreach programs. Support budget processes. Communicate outcomes to all appropriate constituents.

Pipeline Program Support

Coordinate the high school pipeline programs, including the Educational Pipeline Program and the Summer Mentorship Program, each year. Assess programs for effectiveness. Manage and track budget/spending. Recruit and hire student workers each year.


Support joint UME/BGS/MaC recruitment effort for students and trainees underrepresented in medicine and research.

Other Functions
  • Represent IDEAL XP as needed at external meetings. Coordinate annual reports for external and internal agencies. Support communication methods to keep all PSOM constituents aware of the Ideal Experience's work. Communicate with internal and external constituents.
  • Coordinate monthly IDEAL XP student committee and faculty meetings. Ensure action items are implemented. Communicate outcomes and updates to all appropriate constituents.
  • Perform additional duties as assigned

Required Skills and Education
  • Bachelor's degree and 2-3 years of related experience or equivalent combination of education and experience required.
  • Demonstrable skills collecting, storing and low-level analysis of data related to outreach, student programming and interdepartmental activities.
  • Strong organizational skills with the ability to manage multiple projects simultaneously, while tracking and meeting established deadlines.
  • Ability to coordinate efforts internal amongst institutional departments, as well as external with community-based partners.

Preferred Skills and Education
  • Bachelor's degree related to STEM
  • Prior experience coordinating/supporting program assessment activities.
  • Prior experience working with high school population in Philadelphia or similar urban environments.
