Job Description Summary

The School's innovative Legal Practice Skills program is an integral part of the foundational curriculum for our talented students. Complementing the theoretical learning done in the traditional classroom, the Legal Practice Skills program ensures that students learn not only to think like a lawyer, but also how to act and communicate like one. Lawyers rely on fundamental practice skills to solve problems for their clients. Penn Carey Law's Legal Practice Skills course empowers students to flex the knowledge they have acquired and develop areas they need to thrive as a lawyer. The program includes a mandatory first-year, year-long Legal Practice Skills course as well as upper-level skills training opportunities.

The Administrative Coordinator reports to the Associate Dean and Director of the Legal Skills Program and supports the six full-time faculty in LPS plus additional adjuncts. The Administrative Coordinator plays a critical role supporting this dynamic program, including the first-year mandatory skills program, curricular and other efforts around appellate advocacy, and the Academic Support Program. Additionally, the Administrative Coordinator supports the Capstone project programming for the Carey JD/MBA Program.

The Administrative Coordinator works a full-time role, is eligible for hybrid (some remote days) work environment, and effectively and efficiently completes a host of faculty projects.

Hybrid Eligible - This position is eligible for a hybrid work schedule with a work week divided between working onsite and working remotely.

Job Description

LPS Program Development
  • Serve as lead administrator to the Associate Dean and to all faculty, managing calendars and responding to a variety of administrative requests.
  • Respond to requests for legal research, gathering cases and other legal materials in support of curriculum.
  • Create decks and presentations for faculty.
  • Manage administrative aspects of hiring processes for faculty, adjunct faculty, and Littleton Fellows (upper-level student instructors in the first-year mandatory program)
  • Implement all application processes for Littleton Fellows; set calendars for interviews; maintain all records and support for the hiring process.

LPS Program Implementation
  • Develop and implement distribution processes to ensure that instructors and students have all relevant materials.
  • Maintain a calendar of deadlines and assist in the enforcement of student adherence to deadlines;
  • Build and maintain historical resources for all program materials and data.
  • Assist in the schedule of mock arguments, including with the scheduling of courtrooms and the scheduling of a large volume of practicing attorneys to act as judges for moot court arguments.
  • Assist the Associate Dean and faculty in maintaining data and developing reports.

Academic Support Program
  • Provide full administrative assistance to the Direct of Academic Support; set calendar with Director; reserve rooms, arrange catering, manage publicity, set up and break down on days of events.
  • Ensure distribution of relevant materials to participants and to Law School colleagues.
  • Manage data on Academic Support programs; prepare reports as requested by the Director.

Keedy Cup
  • Provide full administrative assistance to the faculty member organizing the Keedy Cup, an annual advocacy competition. Set calendar with Director; reserve rooms, arrange catering, manage publicity, set up and break down on event day.
  • Maintain data on participants over time.

Carey JD/MBA Capstone Program
  • Provide full administrative assistance to the faculty member leading the Carey JD/MBA Capstone Project (currently the Associate Dean for Legal Practice Skills).
  • Perform administrative tasks in support of curriculum development and implementation.
  • Set calendar with the Director; assist in travel plans and arrangements, including by making hotel and travel reservations.

Other Programs
  • Maintain a database of legal writing competitions and ensure its dissemination to students.
  • Maintain internal records, develop messaging and programming using Law School technology
  • Support LPS faculty in upper-level course matters

  • Represent LPS to Communications and other Penn Carey Law departments to ensure excellent internal and external communication about all LPS, Academic Support, Keedy Cup, and Capstone activities.
  • Maintain LPS, Academic Support, Capstone, and other relevant web sites.
  • Draft content for social media highlighting LPS and related activities.

Other duties as assigned


BA/BS or equivalent in experience required. 3-5 years of administrative experience required; experience with legal research or legal profession work environments strongly preferred. Ability to work well with others in a service-oriented environment; positive attitude and interest in getting the work of the team done are essential. Strong communication skills; ability to prioritize and complete multiple tasks; excellent attention to detail; flexibility. Must have a portfolio of projects demonstrating the ability to create and implement organizational systems. Excellent skills in a Microsoft Office environment, especially in Word, Excel, and PowerPoint, and experience with legal research tools preferred. Must be able to work under pressure with time constraints and be willing to commit to the Penn Carey Law Staff Ideals.
