Job Description Summary
Wharton Human Resources provides support to a large population of diverse staff at the Wharton School. This position is responsible for or assists with a number of human resources and administrative processes. Responsibilities to include conducting new employee orientation; coordination of the exit interview process for departing and/or transferring staff; serving as the first point of contact for HR-related staff questions, management of the Wharton HR web site; composition of monthly newsletter; coordination of HR sponsored and departmental events; maintenance and creation of departmental files.

Job Description

The Human Resources Administrative Coordinator is an integral part of the Wharton HR team. Providing HR support to Wharton staff, this position will take ownership of a number of HR and administrative responsibilities related to the HR function at Wharton. Currently we are a department of four, which allows the HR Administrative Coordinator an outstanding opportunity to learn and take on additional responsibilities. Wharton HR has a history of developing our staff so they can move to higher levels. We provide the necessary support and training to develop our staff.

The hours for this role are Monday - Friday; 9am - 5pm (35 hours/week) and consideration will be given to a hybrid work arrangement after successfully completing the introductory period.

Responsibilities include, but are not limited to:

Onboarding/Offboarding: Create a welcoming experience for new staff by conducting new employee orientation (NEO1) on a weekly or bi-weekly basis, and coordinating NEO 2 (conducted twice a year). Manage the exit process and conduct interviews.

HR Operations: Serve as the first point of contact for HR-related staff questions, escalating to the Associate Directors or Director when necessary. Attend HR-related University meetings. Assist Associate Directors with compiling and recording compensation requests. Run reports in Workday as requested. May participate in employment interviews as needed.

Communications: Compose monthly employee newsletter using a third-party platform. This may involve interviewing faculty/staff, researching topics, and making suggestions related to content. Manage department web site and update content as needed. Disseminate critical information to staff as needed.

Events: Coordinate logistics for various HR events.

Administrative: Order supplies, create purchase orders, review and purge files annually. Serve as Wharton's representative for the annual Penn's Way program, coordinate annual service award program.

This position offers the potential to learn and grow in the Human Resources field.

Qualifications
  • A high school diploma or GED and 5 years of experience, or equivalent combination of education and experience is required. An undergraduate degree is preferred.
  • Strong written and verbal communication skills required. Experience communicating with a diverse population is desired.
  • Must possess sound judgement and tact with respect to confidentiality and handling of sensitive information.
  • Strong organizational skills, with an ability to prioritize and manage responsibilities accordingly.
  • Proficiency in MS Office suite (Word, Excel, Outlook) required. Experience with Workday or similar HCM platform desired.
  • While not required, previous experience and an interest in Human Resources would be helpful. Individual should have an eagerness to learn and grow within Human Resources.
