Job Description Summary
The Assistant Director of Operations oversees the internal operations of ImpactED, including budgeting, vendor/contractor management, marketing and communications, and grants and contract management. The Assistant Director will report to the Executive Director and work with all ImpactED team members to perform core operational functions.

ImpactED takes a collaborative and team-oriented approach to our work. All staff are involved in organizational strategic planning efforts. As a core team member, the Assistant Director of Operations will co-create annual strategic objectives for the organization.

We also work to understand team members' needs and priorities for work-life integration and value flexibility in how work gets done. ImpactED offers flexible work hours and supports creative approaches for completing work while promoting balance between work and personal commitments. These approaches involve use of non-traditional work hours and locations.

About the Position
The Assistant Director of Operations oversees the internal operations of ImpactED, including budgeting, vendor/contractor management, marketing and communications, and grants and contract management. The Assistant Director will report to the Executive Director and work with all ImpactED team members to perform core operational functions.

Duties & Responsibilities
  • Manage core operational functions including:
    • Budget - develop and monitor the annual budget and project budgets in collaboration with the business office
    • Human resources - support with the hiring, onboarding, and training of consultants, staff, and ImpactED fellows
    • Vendor/contractor management - manage contractor setup and maintenance
    • Team management - manage team operations including office management, scheduling, team-building, and meeting logistics
    • Incentive payment process - oversee the payment process for research participants and advisory committee members
    • Event logistics - manage event logistics for trainings and events
  • Create and maintain systems and processes to maximize efficiency and support continuous improvement (e.g., time tracking, project management, workflow, monitoring efforts)
  • Support business development efforts including:
    • Conducting market and product/services research
    • Developing systems for prospecting and tracking new clients
    • Supporting with proposal writing, contract development/execution, and grant reporting
  • Manage the development and implementation of a marketing/social media strategy
  • Collaborate with the team to develop and implement annual strategy objectives


Qualifications
  • Bachelor's degree and 3-5 years of relevant experience required and 5-7 years of experience preferred
  • Experience developing and maintaining operational systems and processes
  • Understanding of financial and budgeting processes
  • Proven project management and organizational skills, including the ability to manage shifting priorities on multiple projects
  • Exceptional writing, editing, proofreading, and verbal communication skills
  • Ability to work independently and also as a member of a collaborative team, communicating effectively and proactively about deadlines and needed support
  • Experience with management of staff or contractors preferred
  • Ability to learn and become proficient in online databases and platforms (e.g., Google suite, Qualtrics, PowerBI, Salesforce, Smartsheets)

Compensation

This is a full-time position with an anticipated salary range of $52,000-$70,000.

This Targeted Pay Range is only applicable to this job posting. All salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
