Job Summary:
Functional expert responsible for the planning, staffing, and tactical execution of group and/or broad-based relationship management plans, programs and events designed to strategically identify and cultivate alumni and students in meaningful ways that result in engaged volunteers and donors. May coordinate all activities of one or more smaller, less complex programs or provide critical support on complex programs.

  • Works together with the Senior Associate Director, Annual Giving and Senior Director, Alumni Engagement and on all aspects of leadership/reunion giving and programming.
  • Manages or supports key elements of Alumni Weekend/reunions and annual giving-related programs.

Please note: Will occasionally be required to travel or attend events or meetings that fall outside of standard work hours (evenings, weekends). 

Specific Responsibilities:
Strategic Planning

  • Administers and maintains existing strategic plans.
    • Recommends changes and improvements to maximize and ensure most effective and efficient use of revenue streams ultimately leading to a culture of engagement and participation
    • Develops and implements short- and long-term strategies to increase alumni participation through giving programs.
    • Manages leadership giving programs, including comprehensive reunion giving, including recruiting, training, managing, and stewarding volunteers/class chairs.
  • Recommends changes and improvements to maximize and ensure most effective and efficient use of revenue streams ultimately leading to a culture of engagement and participation with the University.


  • Involves collaboration with internal department partners, as well as University partners, in implementing and expanding existing relationships to accomplish strategic goals.
  • Key partnerships include:
    • Close collaboration with Sr. Associate Director, Annual Giving to coordinate leadership and reunion-related annual giving.
    • Collaboration with both the Senior Director, Alumni Engagement, as well as the Senior Associate Director, Annual Giving to develop volunteers for the class giving program.
    • Works with the Senior Director, Alumni Engagement, as well as Alumni Engagement team colleagues, and Feinberg Special Events to plan and execute Alumni Weekend, reunion, and leadership giving events.

Prospects and Gifts

  • Manages the leadership giving program, including a leadership giving propect portfolio and the management of crowdfunding giving campaigns using the Catalyzer platform.
  • Manages alumni engagement and participation related to leadership and class giving, and reunion programming.
  • Assists the Senior Associate Director, Annual Giving in designing and implementing mail and email appeals.
  • Works with development officers to implement strategies that will maximize dollars raised and participation of donors.
  • Completes associated stewardship responsibilities.
  • As needed, travels throughout the US to meet with alumni, donors, and prospective donors (approximately 6-8 trips per year).
  • Assists with appeals and other projects related to annual giving and reunions.


  • Manages the overall alumni giving and reunion participation strategy, as well as the volunteer structure and training program, including design and implementation of volunteer recruitment, training and stewardship materials.
  • Assists with volunteer management, including generating reports and lists, coordinating updates, and other scheduled communications.
    • Manages volunteers and provides monthly touch points (emails, memos, conference calls, etc.); provides reporting, solicitation support and training where appropriate; coordinates personal solicitations for leadership donors, reunion class chairs, and other degree program volunteers.
    • Recruits, trains, and establishes relationships with volunteers, including class chairs.
    • Creates and provides training materials for alumni volunteers.
    • Develops and maintains expertise on the volunteer solicitor tools in the University’s online community in order to provide necessary documentation and follow-up to donors, volunteers and internal contacts.
    • Inputs all volunteer and alumni activity in constituent database (CATracks).
  • Builds and crafts annual appeal campaigns in conjunction with alumni class representatives.


  • Creates 1-2 annual leadership/reunion events annually.  
  • Administration and Data Management
  • Organizes and executes the production and distribution of appeals, including data manipulation.
  • Optimizes the use of technology for data reporting and analysis.
  • Assists in the development of dashboards and metrics which provide quantitative analysis of program and event outcomes.
  • Co-manages Alumni Weekend temporary employee.
  • Designs and manages the Vital Signs 50 Year Reunion book.
  • Creates presentations and reports, stewards donors.


  • Performs other duties as assigned.

Minimum Qualifications:

  • Successful completion of a full four-year course of study in an accredited college or university leading to a Bachelor's or higher degree; OR appropriate combination of education and experience. 
  • Two years’ development, marketing, communications, sales or the equivalent experience is required. 

Minimum Competencies: (Skills, knowledge, and abilities.)

  • Advanced knowledge of the Microsoft Office suite, including Word, Excel, Outlook, and Powerpoint is required.
  • Demonstrated experience using database software programs.
  • Strong abilities are required in the following areas:
    • Demonstrated data management skills
    • Written and verbal communication
    • Organization/time management
    • Presentations and report compilation 

Preferred Qualifications:

  • Experience working in a university environment.
  • Demonstrated experience managing volunteers.
  • Experience working with a complex relational database/CRM; Ellucian Advance experience preferred.

Preferred Competencies: (Skills, knowledge, and abilities)

  • Excellent oral and written communication skills.
  • Knowledge of complex database programs/software.
  • Expert in Excel and data management.
  • Strong knowledge of design software
