Job Description Summary

Job Description

The Center for Clinical Epidemiology and Biostatistics offers multiple educational programs by way of the Master's of Science in Clinical Epidemiology degree and a related Certificate program, as well as other educational endeavors. The Program Coordinator will provide academic management and support for the MSCE program, helping to support the needs of the students, faculty, and administration. The main tasks include: overseeing logistics of the program, assisting with the admissions process, coordinating student orientation, support MSCE faculty and committees, tracking student progress, maintain student records, advising students for registration, assisting with billing, assisting with applicable grants initiatives, assisting with student and program evaluation, tracking data, and serving as a liaison. This position will work both independently and collaboratively, often with competing tasks and deadlines. Creative problem solving, knowledge of how academic programs work, and flexibility with changing tasks are required.

Responsibilities:
  • Overseeing the logistical arrangements for new and existing MSCE courses, including rostering courses in the Catalog, Curriculum Manager, and Section Scheduler CLSS, and submitting grades
  • Assisting with the MSCE admissions process, including student recruitment and info sessions, application submission, application review, committee interviews, student selection, and the transition of applicant data into the student information system
  • Coordinating student orientation and access to university systems. Serve as a liaison to connect students to university resources
  • Supporting MSCE teaching faculty in updating/revising curriculum materials and managing the learning management system, Canvas
  • Providing support to MSCE program committees
  • Assuming responsibility for tracking MSCE student progress, maintaining student records, and evaluating completion of degree requirements through multiple systems including Radius, Banner and PATH
  • Advising students during pre-registration and overseeing registration reports, managing separations such as leave of absence or withdrawal
  • Assisting with student billing which includes ensuring accurate bills, communicating with business office, drafting and sending invoices, troubleshooting billing issues
  • Assisting program leadership and related course faculty in grant writing for new initiatives and reporting on progress to funding agencies
  • Assisting with program evaluation via annual surveys of students and faculty mentors, including reviewing surveys for updates, distribution, tracking and generating reports from the survey system, RedCap, Qualtrics, and/or MachForms
  • Tracking data analytics including developing, administering, and analyzing the student evaluation data for the program and submitting updates to programs through the Curriculum Manager
  • Coordinating and advertising info sessions, seminars, workshops, and special events
  • Maintaining files important to the management of the program
  • Serving as a liaison between the program and central school and university offices, including the Master and Certificate Programs office, as well as between students and faculty leadership


Qualifications:

Bachelor's Degree and 2-3 years of experience or an equivalent combination of education and experience required. 3-5 years post-graduate work experience preferred Ideal candidate will have experience in an academic research setting working with master's level academic programs and will function well independently as well as collaboratively. Excellent writing skills required. The final candidate will have superior organizational skills, the capacity to handle multiple tasks, and a strong work ethic. Successful candidates must be flexible and possess strong customer service skills.
