Job Description

The Associate Director of the Huntsman Program in International Studies and Business is a full-time professional administrator working in a collaborative environment with the Director to manage all aspects of programmatic implementation. The Associate Director, along with the Director, will be responsible for advising the Huntsman cohort on academic progress; thus, the Associate Director will work closely with the Wharton and College Advising offices and Study Abroad, as well as other campus constituents, on student matters, especially as they pertain to different policies and practices. The Associate Director, with the supervision of the Director and in collaboration with Wharton F&A, will be tasked with the program's fiscal management and will supervise the work-study students. The Associate Director will manage a robust student support grant process. The Associate Director will collaborate with the Director and Coordinator on event planning and communication strategies, including efforts connect with and support prospective students and alumni, as well as current student and student groups to support an inclusive community of scholars as they prepare to become ethical global leaders. The Associate Director will assume all program responsibilities in the absence of the Director.
  • In coordination with the Director, act as a primary academic advisor for Huntsman Program students, monitoring student academic progress throughout all four years. This includes, but is not limited to, advance registration, first-year student advising, degree audits, study abroad, etc. Liaise with both Wharton and College advising offices, including individual departments in instances where students pursue minors/majors and concentrations. Know and adhere to Wharton and College policies. Work closely with the Director to devise and implement Huntsman-specific policies.
  • Responsible for daily financial transactions, including but not limited to PO, Procurement, PCARD, Non-PO, travel reimbursements & student financial issues in compliance with university policies and procedures. Ensure information is posted timely and accurately. Perform monthly General Ledger & Payroll Ledger expense reconciliations. Assists F&A and the director with the Annual Budget, Year End close, Audit and Tax reporting requirements. Provide monthly financial reports for review and approval of the Director. Supervise work-study students. In collaboration with the Director, manage the summer funding process.
  • Collaborate with Director and Coordinator on programming and communications. Act as main contact for vendors, purchase all necessary goods, hire and supervise staff, if necessary. Annual and ongoing events include orientation, alumni events, admissions information sessions, board and alumni council meeting, commencement activities, and other student activities. Support planning and coordination of immersion courses and other experiential learning activities. Design and implement initiatives that support the program's goals fostering a diverse, inclusive community of scholars as they prepare to become ethical global leaders.
  • Advise Huntsman students on study abroad options, especially as study abroad relates to a student's 4-year trajectory. Furthermore, advise students on the academic implications of study abroad, i.e., course options abroad, department approval and XCAT, fulfilling major requirements, etc. Work with Penn Global to disseminate important information regarding study abroad, including reminding students of deadlines pertaining to the application, XCAT submission, and transcript receipt (grade input), among other global and study abroad opportunities at Penn.
  • Collaborate with Director and Coordinator on all program communication and marketing, including the Huntsman Program website, social media, newsletter, alumni portal, and any newly established initiatives.
  • Work with student advisory board to plan a budget for student events. Collaborate with Huntsman-specific student organizations on student initiatives, events, and recruiting.
  • Other duties as assigned


Qualifications:
  • Bachelor's degree required; Master's degree preferred
  • 3 to 5 years of related professional experience in higher education administration and experience working closely with and advising students, with a preference for experience working with an international studies and/or international business related curriculum required; 5-7 years preferred
  • Strong financial/accounting management, organizational, and attention to detail skills required. Microsoft Excel proficiency is required. Familiarity with Workday, BEN Financials, Business 0bjects/lnfoview/WEBI, and Concur Travel & Expense Management System preferred. Knowledge of Penn financial policies and processes preferred.
  • Excellent interpersonal and communications skills, both oral and written, are required.
  • Open communication, proactive planning, and team coordination are necessary to support the academic planning and priorities of the Huntsman Program
  • Excellent project management skills, including attention to detail, strong organizational skills, and responsiveness and ability to work to deadlines
  • Demonstrated ability to take initiative and assume responsibility
