Job Description Summary
The Special Projects Coordinator supports the School and the Dean's office through special project management and writing, primarily around faculty matters. This individual works closely with the School's deans and faculty affairs staff and coordinates projects with several SAS and University offices.

Job Description

The School of Arts and Sciences (SAS) is the academic foundation of the University of Pennsylvania, providing liberal arts education for all Penn undergraduates and supporting graduate studies and research across the humanities, social sciences, and natural sciences. The Office of the Dean provides broad oversight for the School's academic departments, education programs, and operations, and also manages the day-to-day administration of faculty personnel.

  • Develop and manage SAS programs and information resources supporting faculty professional development. Coordinate faculty orientations and workshops, including The First Two Years program for new junior faculty. Develop and implement administrative structure for School-wide faculty mentoring programs. Expand and maintain suite of general School-level web/print reference resources for faculty, department chairs, diversity search advisors, and search committees.
  • Working with the SAS deans, manage the appointment process for department chairs, center directors, and endowed chairs, coordinating as appropriate with other SAS and University offices.
  • Coordinate and promote the suite of SAS-funded faculty grants and other internal University grant opportunities.
  • Assist in preparing nominations of SAS faculty for national and international honors; acknowledge and track faculty honors.
  • Manage a variety of other special projects. Examples include but are not limited to writing SAS teaching award citations, tracking faculty retention information, and managing the submission of Faculty Opportunity Fund requests on behalf of the Dean's office.

This position will offer hybrid working arrangements.

  • Bachelor's degree and 3 to 5 years of progressively responsible administrative and project management experience, or equivalent combination of education and experience. 5 to 7 years of experience is preferred. Experience in a university setting and/or knowledge of Penn also preferred.
  • Ability to work independently and as part of a team in a fast-paced, executive-level setting requiring initiative, innovative problem-solving, strong organization, and the prioritization of multiple demands.
  • Outstanding writing and editing skills, with a portfolio that demonstrates clarity and precision. Ability to draft a wide range of appointment letters, correspondence, and other short texts for the Dean's signature, as well as manuals, reports, and web text.
  • Working knowledge of website maintenance required; familiarity with web content management systems (preferably Drupal) or HTML desirable. Proficiency with Microsoft Office suite. Exposure to Workday helpful.
  • Strong attention to detail and discretion with confidential information.
