Job Description Summary
The Business Analyst reports to the Assistant Director of Student Accounts, within the Student Accounts Office, under the Director of Student Accounts. The Business will query and analyze Banner AR student account data to support billing, financial hold, and collection processes, improve management of student accounts for specific student populations, and research and resolve account discrepancies with vendors and the Penn community. The positions will also review pre-collection accounts prior to transfer to Penn's billing vendor. The Business and Data Analyst will also be responsible for communicating with students, staff, Penn community and vendor partners for all student account issues.

This role will assist the Assistant Director of Student Accounts perform analyses, development and evaluation on large databases and large complex consultation which will include daily operational duties and provide exceptional and customer-driven service delivery to various students, family members, third-party vendors/partners, and diverse stakeholders across Penn.

Job Description
  • Analyze Banner AR information, build reports and queries, to identify outstanding balance issues for specific populations and develop targeted communication, including pre-collection and financial hold student account populations.
  • Audit/reconcile daily output from Pennant AR batch processes, payment posting & scanning checks, review system error reports and update payment transactions (including modifying monthly payment plan budgets and plan amounts).
  • Work with the Assistant Director to audit, review, and reconcile student account activity from various departments that directly affect receivable balances.
  • Review student account transactions (pending roster) and complete Banner T-pay process to resolve unapplied financial credits to ensure fund application to tuition, fees and auxiliary charges.
  • Analyze collection accounts before transfer to external vendor, approximately $5 million annually.
  • Assist with scheduling, production, and distribution of output for the financial, collection, graduation and separation holds process, assist with 1098T and 1042S tax process including review of tax data and on-demand production of 1098T form using vendor website.
  • Monitor refund pending roster and update accounts as required to support the credit refund process, produce parent PLUS refunds, produce refunds to lenders.
  • Verify the accuracy and completeness of student financial transactions (payments, adjustment, refunds, late payment penalties, etc.) as recorded in Banner AR.
  • Research, resolve and respond to inquiries from students, parents, the Penn community, and our vendor partners regarding student accounts.
  • Prepare and audit student payment plans and financial acceptance of the plans for accuracy.
  • Work with third party vendors for our international population to facilitate student payments and refunds.
  • Recommend functionality enhancements to management to enhance student account on-time payment.
  • Assist with back to school and freshman cyclical processes, as needed.
  • Documents operational processes and presents to Management on recommended operational revisions or changes. Continue to develop data standards, policies, and procedures.
  • Perform other duties as assigned.

  • Strong listening, negotiation, and conflict resolution skills.
  • Must be flexible, show effective judgement, discretion, and the ability to handle confidential financial matters.

  • Bachelor's degree preferably in Finance, Business or Accounting.
  • Minimum of 4 years Accounts Receivables experience
  • Knowledge of bookkeeping or accounting principles to include posting of debits and credits and General Ledger posting
  • Experience using Excel and Microsoft applications.
  • Demonstrated competence in systems analysis and the ability to quickly learn and apply new technologies.
  • Experience in Ellucian/Banner, TouchNet and ECSI preferred.
  • Higher education administration experience (Student Accounts, Student Loans, Financial Aid and/or Registrar).
  • Excellent customer service and strong leadership skills.
  • Strong verbal and written communication skills.
  • Able to work independently and prioritize multiple tasks in a high-volume environment.
  • Demonstrated ability to collaborate effectively with other departments and diverse stakeholders in a dynamic higher education environment.
  • Working knowledge of FERPA, GLBA, Title IV regulations, HIPPA, PCI, and applicable privacy laws as related to student information and student accounts.
