Job Description Summary
Under general supervision, reporting to the Assistant to the Dean, serve as receptionist and administrative support resource for the school's main administrative suite, the dean's office, and community members of the Annenberg School for Communication.

Job Description

  • Answer, route and/or screen telephone calls.
  • Handle routine to atypical telephone inquiries from students, faculty, staff and the public.
  • Greet and discern appropriate action to assist main office visitors, vendors, and/or VIPs.
  • Perform data entry and handle routine correspondence.
  • Monitor, order, organize, and maintain office and kitchen supplies for the building.
  • Sort, distribute, and maintain mailboxes, intramural and/or U.S. mail, including special delivery (UPS, FED EX, and DHL) packages for school community.
  • Compose, type, and proofread routine and/or confidential correspondence.
  • Serve as key operator for main office copy machine, fax machine, and printer, and provide support as needed.
  • Order and distribute business cards for community.
  • Perform on campus/off campus errands.
  • Provide support to Dean's Office staff as needed.
  • Work on special projects and other duties as assigned.

Please note: This position is considered "essential personnel" and is not included as part of any remote or hybrid work schedule. The position is in person, Monday through Friday, 9 a.m. to 5 p.m.

Qualifications: HS Diploma or GED required, with 1-2 years of related experience, or equivalent combination of education and experience. Familiarity with administrative work in a higher education setting a plus. The ideal candidate will have excellent written and verbal communication skills and the ability to communicate effectively on the telephone, via email, and in person. Strong forward-facing customer service skills are essential. Candidates must have the ability to interact with various constituencies across campus. Excellent organizational skills and attention to detail, and the ability to juggle multiple tasks is required. A mature, proactive, and professional approach to the position is required. Proficiency with the Microsoft applications suite is a must. Knowledge of Penn's internal systems a plus, but not required.
