Job Description Summary
The Staff Assistant provides high-level administrative support to the Associate Provost for Finance and Planning with the Office of Provost Administrative Affairs. Provost Administrative Affairs provides budget and finance, human resource, technology, and capital project planning and support to the centers reporting to the Provost. The office assists departments with effectively stewarding their resources consistent with University policies and processes.

Job Description

Responsibilities:

This is a temporary role.

Duties include, but are not limited to:
  • Drafting general correspondence on behalf of the Associate Provost for Finance and Planning
  • Assisting with handling and maintaining the to the Associate Provost for Finance and Planning's schedule and calendar for appointments
  • Scheduling and supporting meetings on-campus and/or virtual
  • Organizing Provost Administrative Affairs wide meetings and activities
  • Typing and proofreading standard and complex or confidential material
  • Acting as a liaison between University staff, students and faculty on general matters concerning the Associate Provost for Finance and Planning
  • Collecting and organizing information for meetings and/or reports
  • Greeting visitors and meeting attendees
  • Establishes and maintains critical office systems and protocols, including document management system, note-taking in meetings, and other systems required to improve efficiency, information sharing, and shared learning


Qualifications:

Required:
  • Bachelor's degree
  • 3-5 years of relevant experience in a fast-paced professional setting
  • Previous administrative experience supporting Executive Leadership
  • Ability to manage multiple priorities and deadlines
  • Must possess excellent judgement and discretion handing confidential material
  • Ability to work independently and collaboratively
  • Advanced knowledge of Microsoft Office, with proficiency in Outlook
  • Excellent customer service skills
  • Excellent oral and written communication skills
  • Strong organizational skills
  • Proficiency with Zoom, BlueJeans and other virtual platforms


Preferred:
  • Knowledge of Penn and experience in higher education organizations

Budgeted Pay Range:

$25 - $30 an hour, commensurate with education and experience.
