Job Description Summary
The Administrative Coordinator will provide support to critical research initiatives within the Office of the Executive Vice Dean and Chief Scientific Officer (EVD/CSO).

Activities will include:
  • Clearly and professionally communicating with a range of audiences as a representative of the Office of the EVD/CSO;
  • Maintaining PSOM online calendar, PSOM digital signage and video content;
  • Providing efficient scheduling support; serving as back-up administrative support for EVD/CSO when needed;
  • Coordinating activities of multiple committees;
  • Facilitating scheduling/communication for Research Integration initiatives including the PSOM T32 Best Practices program;
  • Coordinating annual programs including competitions, awards and other ad hoc projects;
  • Facilitating PSOM's S10 application coordination process;
  • Coordinating submissions for the bi-weekly faculty newsletter;
  • Tracking issues and ensuring effective, timely follow-up; and
  • Ad hoc problem solving.

    The Administrative Coordinator is expected to:
  • Provide complex, detailed administrative and scheduling support on matters related to program planning and management;
  • Independently monitor and drive coordination of key program logistics (ex. itineraries, communication distribution);
  • Maintain PSOM digital signage and PSOM events calendar using a range of web-based tools;
  • Serve as key contact to staff throughout PSOM regarding the events calendar content and logistics;
  • Arrange meeting room reservations and catering as required;
  • Interact with Penn Medicine faculty, staff, and other key stakeholders; and
  • Implement a wide range of decisions and plans developed by the Director of Research Integration, EVD/CSO and senior faculty and staff.

    This role requires:
  • Clear and professional written and oral communication;
  • Ability to maintain effective organizational, time management and prioritization systems independently; and
  • An energetic, self-motivated, positive approach.

    Job Description

    Responsibilities/Duties:

    - Provide LiveWhale calendar maintenance. Daily updates and interaction with faculty and staff across PSOM. Key administrative contact to departmental coordinators. Coordination of the research portal of the PSOM digital monitors.

    - Calendar maintenance for Senior Executive Director for the EVD/CSO and Director of Research Integration and Special Initiatives. Scheduling and administration for a variety of meetings within the Office of the EVD/CSO and research core facilities. Back-up support for EVD/CSO when needed.

    - Coordinate activities of multiple committees. Schedule and communicate regular meetings of Cores Committee, Core Directors, and weekly cores/research integration updates. Ensure maintenance of schedule on Associate Dean for Research Integration's calendar.

    - Facilitation of scheduling and communication for Research Integration initiatives, including the PSOM T32 Best Practices program. Includes itinerary development, liaising with invited speakers, and coordinating with a range of departments, centers, institutes, administrators and faculty leaders.

    - With the Research Planning and Management Coordinator, schedule and communicate meetings and agenda for Research Integration programs. Arrange meeting room reservations and catering as required.

    - On behalf of the Office of the EVD/CSO, coordinate annual programs including competitions, awards and other ad hoc projects.

    - Maintenance of Smilow video wall video content and planning.

    - Facilitation of PSOM's S10 application coordination process. Includes milestone management, liaising with Penn's Office of the Vice Provost for Research, and coordinating with a range of faculty PIs.

    - On behalf of the Office of the EVD/CSO, coordinate submissions for the bi-weekly faculty newsletter.

    Qualifications:

    High School diploma and 5 years of experience or an equivalent combination of education and experience required. Bachelors Degree with 1-2 years of related experience preferred. Experience within a College or University setting preferred.
