Job Description Summary
The RESEARCH ADMINISTRATIVE COORDINATOR position for Penn Dental Medicine's Center for Clinical and Translational Research coordinates research administrative activities in support of the Principal Investigator, Project Manager and other key stakeholders. 
The Program Coordinator for Translational Medicine is responsible for a range of administrative, planning and communication duties to support day-to-day operations of the Translational Medicine program at the University of Pennsylvania School of Dental Medicine. Tasks will include scheduling and organizing meetings, and drafting agendas and meeting minutes; managing the research clinic schedule, ensuring adequate personnel availability; ordering supplies; serving as the point of first
contact for potential research participants via phone call or in person; performing pre-screening activities for potential research participants; implementing recruitment and retention strategies; and other duties as assigned. The ideal candidate will be interested in clinical research, able to efficiently perform a wide variety of tasks, effectively manage competing priorities, and quickly learn new skills as the need arises.

Job Description

Key Responsibilities:

  • Manage the calendar of the Associate Dean for Translational Research and organize meetings with internal and external stakeholders. Secure appropriate space and other resources for meetings. Proactively identify and resolve schedule conflicts and room assignments. Prepare meeting materials and table meeting minutes.
  • Answer the main Translational Research phone line and email account, appropriate directing calls/emails and responding promptly to messages. Greet research participants upon arrival to the clinic and notify clinic staff. Manage the clinic schedule, ensuring the availability of staff and space.
  • Assist in the preparation of material for study visits including compiling research charts, obtaining necessary materials and supplies, and setting up the visit area. Perform data entry. Complete research charts as needed. May be asked to administer participant questionnaires or other assessments.
  • Administer pre-screening questionnaires to potential participants, via phone and in-person. In collaboration with study teams, implement recruitment plans by reviewing medical/dental records, interacting with care providers, and creating and placing study advertisements. Remind participants of upcoming visits, rescheduling visits as appropriate.
  • In collaboration with program personnel, work with investigators on grant submissions. Develop submission timelines and task trackers, collect and review administrative documents, and attend planning meetings.
  • Work with study staff to perform regular inventory of general and study-specific supplies, and place supply orders. Coordinate travel and expense approval for program staff.
  • Other duties as assigned.



Qualifications
H.S. Diploma or GED Required, with 5-7 years of related experience or equivalent combination of education and experience.
