Position Focus:
Reporting to the Publicity Director, the Publicity Assistant provides high-level administrative support to the Publicity Director, three Senior Publicists, and two Publicists. Publicity Assistant serves as first point of contact for media looking to connect with authors and books published by Yale University Press (YUP), coordinates and executes timely dissemination of information and materials about YUP books to media, often on deadline, and coordinates workflow and project development for Publicity Department as a whole and for individual publicity campaigns as needed.

Essential Duties
1. Often serving as first point of contact for media and under tight deadlines, Publicity Assistant coordinates and executes timely dissemination of publicity information and materials. Serves as principal source of information to media for publications, electronic images, events, and press releases. 2. Organizes and coordinates workflow and development of publicity related projects as needed. 3. Edits, shapes, and otherwise adapts existing marketing copy to meet special publicity needs. Writes press releases and letters to authors and media. 4. Researches media for new projects. Maintains database of media contacts. 5. Works with authors and publicity staff on various publicity-related tasks, such as soliciting and setting up radio and TV interviews, pitching authors' local media, and facilitating blog posts and podcast interviews. 6. Creates and distributes publicity e-newsletters of latest media coverage. 7. Oversees work-study students and summer interns. 8. Assists in processing invoices and maintaining records related to departmental budgets. 9. Assists in creation of special mailings and other outreach as needed.

Required Education and Experience
Six years of related work experience, four of them in the same job family at the next lower level, and high school level education; or four years of related work experience and an Associate's degree; or little or no work experience and a Bachelor's degree in a related field; or an equivalent combination of experience and education.

Required Skill/Ability 1:
Intermediate proficiency with working knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint) and Adobe Acrobat. Ability to quickly master and work within industry databases such as Cision and Publicity Assistant.

Required Skill/Ability 2:
Strong organizational skills. Excellent writing skills and proofreading skills. Excellent attention to detail. Writing sample may be requested at the time of interview.

Required Skill/Ability 3:
Strong familiarity with social media. Ability and desire to learn new technology.

Required Skill/Ability 4:
Awareness of and ability to learn literary and book review media. Knowledge of academic disciplines. Demonstrated interest in publishing, media or journalism. Strong work ethic, with demonstrated professionalism and integrity. Demonstrated interpersonal skills, with the ability to work independently as well as in a team.

Required Skill/Ability 5:
An understanding of the value of diversity and the importance of inclusion as demonstrated through a commitment to apply and incorporate the differences, complexities, and opportunities that diversity brings to an organization.

Preferred Education, Experience and Skills:
YUP internship, graduate of a postgraduate professional-level publishing course, or six months' experience as a Publishing or Editorial Assistant.
