Job Description Summary

Four External Affairs teams - Operations; Development; Alumni Relations; and Communications and Donor Relations - work collaboratively across the School and the University to secure philanthropic commitments that empower teaching and learning, research, and dynamic programs that comprise a leading global business education. The Development Program Coordinator is a member of the Development team who provides high level administrative and project support for the Senior Executive Director of Development and the Senior Managing Director of Principal Gifts in Wharton External Affairs. The successful candidate must be able to multitask and manage multiple projects with simultaneous deadlines, as well as work collaboratively as a member of the 35-person development team and the larger administrative coordinator team across the External Affairs division. Duties include, but are not limited to: carefully managing, scheduling, and organizing the directors' schedules and interaction with senior level faculty members and administrators, Wharton School alumni and other leaders in global business; coordinating complex travel arrangements - both domestic and international; drafting correspondence; assisting in special projects including volunteer advisory boards; and budget tracking. Poise, maturity, and excellent judgment are required for this position, as well a high attention to detail. On occasion, the Development Program Coordinator will be required to staff events and programs.

Job Description

Specific tasks and activities for the Development Program Coordinator are:




  • Manage, plan, and schedule meetings and staff events on behalf of the directors with senior administrators, board members, donors, alumni, staff, faculty, etc. in accordance with the fundraising mission of Wharton External Affairs.Serve as the back- up assistant for the Vice Dean of the division, as needed.
  • Provide assistance on cross divisional projects, including, but not limited to: executive board meetings, fundraising and engagement events, department wide meetings and trainings, and committee work.
  • Have a working knowledge of prospect work of the executive director and managing director including deadlines and help ensure completion - assisting when needed.This can include cases for philanthropic support, proposals, gift agreements, and stewardship reports.
  • Coordinate extensive domestic and international travel arrangements and prepare complex expense reports, as well as track two budgets.This includes purchases and reimbursements and reviewing monthly financial statements.
  • Work in the University database to assure development activity and strategy is up to date and query reports. Aid in timely stewardship for the directors' assigned prospects, which includes reviewing daily gift logs.
  • Draft correspondence (acknowledgement, memos, and other assignments).



Bachelor's Degree and 3 to 5 years of experience preferred, or equivalent combination of education and experience is required. 5-7 years' experience preferred. Candidate should be professional in demeanor and possess a positive attitude, be adaptable to change, convey a friendly and welcoming environment to internal and external colleagues, be detail oriented, anticipate problems and solutions, and have excellent written and verbal communication skills. Experience supporting executives or senior administrators in a higher education environment is preferred. Knowledge of office procedures required. Demonstrated ability to manage multiple projects and presentations simultaneously under tight deadlines required. Competency with computer software essential: word processing, spreadsheet, database, and PowerPoint knowledge required. Excellent written, organizational, and oral communication skills required. Must have the ability to handle confidential material and information with discretion. Maturity, poise, judgment, and professionalism are essential. Have the ability to work as a team player and help provide assistance during events and/or activities when necessary. Experience in fundraising or alumni relations office is highly desired.
