Job Description Summary
The Concierge is responsible for prioritizing the visitor experience to give all people coming to the Franklin Building (FB) exceptional, customer-centric engagement. The Concierge must exhibit a strong sense of hospitality, enjoy working with the public, proactively greet all visitors, and possesses a sincere interest in helping others. The role consistently exhibits flexibility, professional courtesy, good judgment, and will be able to resolve customer issues in a timely and diplomatic manner that is consistent with Penn's values and mission. Responsibilities for this position include but are not limited to the following:

 

 

 

  • Consistently deliver on commitment to provide a high quality and supportive welcome to all,
  • Respond to the needs of staff, faculty, students, families, and visitors by providing information and assistance in a timely and customer-centric manner,
  • Promote a positive image for the FB and the University of Pennsylvania, ensuring the front desk space and welcome areas are clean and inviting,
  • Provide accurate way-finding information and support the Student Service Center (SSC) operations and visitor flow.
  • Possess knowledge of SSC workflows and academic calendars to provide supplemental SSC support,
  • Engage with FB occupants to have knowledge of interdepartmental/external/ vendor meetings to enhance building efficiency.
  • Manage meeting room logistics, including room preparation, capacity management, scheduling, providing directions and set-up as needed to support various meetings, conferences and engagements at the FB.
  • Maintain knowledge with Franklin Building occupant locations and updating directories/contacts with accurate information.
  • Ensure that the space is secured, visitors are screened properly for entry into the building and packages/mail are stored/delivered to the correct parties.

    Job Description
    • Warmly greets everyone in the building and works collaboratively with the One Stop Operations teams to provide a positive experience for all visitors. Partner with One Stop Operations team to monitor guest flow and facility security and entrances/exits, answer questions, enforce rules, and act as an ambassador for the Franklin Building. Continuously expands personal and required knowledge of One Stop and Student Services and actively participates in required trainings and orientations. Treats all guests with respect and courtesy; Adheres to Penn's policies, including those regarding attendance, punctuality, and dress code. Manage meeting room logistics, including room preparation, capacity management, scheduling, providing directions and set-up as needed to support various meetings, conferences and engagements at the FB.
    • Monitor security for front desk area and work in partnership with Public Safety to ensure Franklin Building is proactively monitored and any risks are minimized with visitor/guest entry. Ensure that identification is checked consistently, and that front desk area is stocked and updated regularly with current collateral, building information, events and sanitization/hygiene equipment and COVID resources. Order supplies, provide filing, and input data as needed. Stand, sit, or walk for an extended time and take a hands-on approach to work to manage operations and flow at the Franklin Building. Receive, sort, and route mail and distribute written communication, accepts and signs for deliveries (mail, packages etc.). Performs other clerical duties as needed.
    • Coordinates scheduling and helps to ensure that the welcome desk area is regularly staffed; relief staff is oriented correctly when the Concierge is at/on break or away from the Franklin Building. Creates and continuously updates documentation/standard operating procedures and guidelines for the role. Provide cross-training to other staff or student workers as needed. Work collaboratively with One Stop Operations to support the center during peak hours, events and visiting periods.
    • In coordination with Public Safety, Building Maintenance, Division of Finance Leadership and One Stop Operations, monitors guest/visitor behavior and reports anything unusual to his/her supervisor. Oversee the safety and protection of the Franklin Building, property, and grounds by enforcing Penn's rules and regulations. Provides superior service in greeting and assisting guests visiting the Franklin Building. Handles challenging situations with the public quickly and effectively, with skill and professionalism. Assist guests with emergency egress, medical emergencies and other duties as assigned.
    • Other duties and responsibilities as assigned.


    Qualifications:

    High school graduate or equivalent, preferably with some formal training beyond high school, such as two years of college coursework or Associate's degree.

    • Ability to engage with visitors in a professional and courteous manner
