Job Description Summary
Plan, manage and coordinate all operational aspects of 2 year, bi-weekly MBA program for ~100 executives including academic and non-academic aspects of Program. Advise students. Work with Executive Director to shape student culture and experience, including event and activity planning and execution. Work with faculty to plan, schedule, and deliver classes. Oversee and supervise other administrative support to students and faculty. Manage student lodging and catering needs. Coordinate with colleagues across 2 program locations. Assist in planning and attend key program events. Represent WEMBA SF to key stakeholders.

This position is located in Wharton's San Francisco offices.

Job Description


This position will manage the student experience of an executive MBA student class from the early enrollment period and through the completion of the two-year program. The role requires a strong service orientation and a genuine interest in people.

PROGRAM DUTIES AND RESPONSIBILITIES: Oversee the long and short-term program planning and logistics for an Executive MBA class of ~100 students. Oversee and implement logistics leading to and during class sessions and exams. Manage communication with 3-14 faculty on any weekend and term to create cohesive schedules and ensure a classroom experience. Work with faculty on overall class term schedules as well as provide support for faculty teaching on-campus week to week. Work with Wharton SF Facilities team to operationalize courses and events (request classrooms and special event spaces, coordinate materials and other logistics). Facilitate communication with Hotels, Facilities team, IT, and academic departments as required. Coordinate domestic modular courses for WEMBA when hosted on the San Francisco campus. Assist in coordinating international modular courses offered in the second year. Engage with counterparts in San Francisco and Philadelphia on longer-term calendar and event planning to support a more uniform student experience across years and campuses. Additional coordination of special events involves collaborating with the Event Planning and Alumni Affairs team to support successful events such as graduation, alumni reunions and special activities for WEMBA community.

STUDENT SERVICES DUTIES AND RESPONSIBILITIES: Advise EMBA students on academics, campus activities and services, and events. Produce and update various student informational resources needed throughout the academic year. Create regular and engaging communication for students. Develop activities to build community within the Executive MBA student population and help to create the student social experience by planning and implementing events and outings. Assist with planning, coordination and execution of special events such as Orientation, Joint Marketing Week, Global Business Weeks and Graduation. Attend all events, when necessary, as a representative of the Executive MBA Program. Counsel and refer students to resources (internal and external). Access confidential information in central and local systems. Support Admissions events to share perspective on student experience.


A Bachelor's Degree and 5 years to 7 years of experience or an equivalent combination of education and experience is required. This position will require strong interpersonal and written and verbal communication skills and the ability to effectively communicate with all levels of staff, faculty, administrators, corporate clients, and the (executive) students. MBA Exec staff are required to have a strong customer service orientation and will need to exercise sound judgment while maintaining confidentiality and a high level of professionalism at all times. The ability to juggle and manage multiple tasks and to prioritize between key deliverables is a must. Must possess skills in working collaboratively within a team environment with colleagues from multiple departments and campuses. Bachelors degree required, masters preferred. Several years of experience in administration required, preferably in an academic environment. Proficiency in Microsoft Office applications: Word, Excel, Power Point, Outlook (familiarity with systems used at the University and the Wharton School are a plus). This job requires the ability and willingness to work Saturdays and an occasional Sunday and evenings during class weekends and for special events.

KNOWLEDGE, SKILLS AND EXPERIENCE: Superb customer service orientation within a multicultural environment. Excellent interpersonal, oral and written communication and presentation skills required. Proven ability to multi-task and set priorities effectively. Demonstrated organizational skills and a superior level of attention to detail. Proven ability to adapt to unpredictable work levels. Ability to work successfully as part of a team required. The successful candidate is self-motivated, proactive, and able to take initiative. Adeptness or awareness of technological solutions and the ability to problem-solve creatively is preferred.
