Job Description

This position provides administrative support for the Rheumatology Fellowship program and other educational activities within the Division and is part of a team of administrative assistants within the Division that work collaboratively and cross-cover assignments as needed. Duties include but are not limited to: Manage ACGME Rheumatology fellowship training program working with faculty, fellows & support staff; Coordinate data for ACGME accreditation site visits; maintain ongoing program compliance for all programs; Coordinate fellowship recruitment & interview process; Organize orientation programs & on-boarding processes ensuring licensure, drug screening, back-ground checks & occupational medicine requirements are met for fellows; process departing paperwork, organize official functions for departing fellows; Coordinate internal/external educational activities; Provide support for faculty for MDTI and other medical school courses as needed; Perform Division-wide general administrative duties, including screening incoming telephone calls, act upon and/or follow up as needed; provide assistance and coverage for other administrative staff.

DUTIES:

Perform Division- wide: Manage front desk reception area, general administrative duties: including screening incoming telephone calls, act upon and/or follow-up as needed; provide assistance and coverage for other administrative staff. Provide administrative support to faculty: manage and maintain calendars, schedule and arrange meetings. Process reimbursements and travel expenses. Coordinate activities and special events.

Manage ACGME Rheumatology fellowship training program working with faculty, fellows, support staff; fellows, ACGME, ABIM, prepare annual budget; create and maintain fellow rotation schedules and incorporate with division inpatient schedules. Coordinate data for ACGME accreditation site visits; maintain ongoing program compliance for all programs, Coordinate teaching conference activities.

Coordinate fellowship recruitment and interview process; manage electronic applications via ERAS; organize match meetings and ranking sessions through NRMP. Organize orientation programs and on-boarding processes ensuring licensure, drug screening, back-ground checks, and occupational medicine requirements are met for fellows; process departing paperwork, organize official functions for departing fellows.

Prepare and submit on-line educational grants to help defray funding for educational activities within the Division, including for fellows, residents, students, and faculty. Provide support for faculty for MDTI and other medical school courses as needed.

Coordinate internal/external educational activities including, but not limited to, medical student rotations, observers, divisional conferences; complete CME applications; maintain related webpages.

Perform additional duties as assigned

Qualifications
An Associate's Degree or two year college equivalent and 3 years to 5 years of experience or equivalent combination of education and experience. Previous experience supporting a fellowship program strongly preferred; excellent PC skills, including Word, Excel, PowerPoint; excellent oral & written communications skills; excellent organizational skills; demonstrated ability to handle sensitive, confidential, and difficult situations with tact and diplomacy; excellent customer service skills; knowledge of academic environment, particularly University of Pennsylvania, highly preferred.

This position is contingent upon grant funding.
