The Office of Records and Registration at The College of New Jersey is seeking candidates for an Academic Evaluator.

The Office of Records and Registration is a multi-faceted office that maintains Academic Calendar, Course Catalog Inventory, Term Set Up, Schedule of Classes, Enrollment, Grading, Credential Evaluation, Degree Audits and Commencement Reporting, Electronic Academic Plans, Student Records, Transcript Processing, Class Audit, and supports new student orientation programing.  Additionally provides internal reporting for academic offices on campus, and assists in maintaining and updating the campus-wide academic records system. This office also provides general assistance, guidance, supports faculty and staff in student advisement, and FERPA adherence.

The Academic Evaluator reports to the Assistant Director of Advising Resources.  The Academic Evaluator is responsible for developing and implementing customer friendly procedures and processes that assist students in progressing towards graduation while maintaining the academic integrity of the institution.  Ability to initiate the use of functionality in Oracle/PeopleSoft (PAWS) as it relates to Academic Advising.

Main Responsibilities:

  • Review and evaluate undergraduate and graduate student credentials via the degree auditing process to insure that students have met all graduation requirements.
  • Evaluate and award course units from external colleges or agencies that are in compliance with college policy.  This includes Advanced Placement, Advanced Standing credit, Transfer credit and other academic records. 
  • Meet with students on an individual basis and respond to student inquiries. Including meeting with prospective transfer students during the admissions recruitment period.  This could entail traveling to the community colleges with an admissions officer to discuss the transferability of credits with prospects as well as transfer counselors.
  • Update student academic records, in PAWS,  based on waivers and exceptions received from the academic departments. Authorize course work to be taken at other institutions based on college policy.
  • Support the registration process during the registration appointment period and during orientation. Conduct presentations and training sessions to educate students and staff as to the functionality of PAWS. 

Required Qualifications:

  • Bachelor Degree Required.  Enrty level position with basic understanding of college level curriculum and degree requirements.
  • Ability to work in a highly technical, customer friendly environment using the Oracle/PeopleSoft Advising Module and other web based advising tools expected.
