Job Description

The Inventory Control Specialist's primary responsibility is to track inventory and stock levels for clinic departments within Penn Dental Medicine. This position will work closely with Receiving and Clinical Affairs to ensure accurate receipt and distribution of products to clinics as well as evaluate and manage stock rotation procedures. This individual will also work closely with the Director of Clinical Affairs to develop policies and protocols. The utilization of Axium and other softwares will be used to manage and monitor receivables. Should any issues arise from receivables, this position will be required to contact vendors for resolution. This role will be essential to maintaining the Organizations many skus and accurate inventory levels.

Duties:

 

 

  • Management of incoming and outgoing inventory within the School
  • Participation in performing weekly inventory audits and supporting/developing reporting
  • Manages and maintains inventory system and facilitates upgrades to related database under the direction of the Director of Clinical Affairs
  • Dispersement of inventory to various clinic for dispersement
  • Compares inventories to office records or computes figures from records to obtain current inventory utilizing BENBUYS and Axium
  • Monitor the movement of materials throughout the school
  • Maintain a safe and clean work environment
  • Resolve problems that may arise concerning material stock inventory levels by interacting with department personnel and staff

 


Responsibilities:

 

 

  • Develop, perform and implement procedures for ensuring that adequate inventory levels are present.
  • Ensure all items are appropriately received and stored in a timely manner.
  • Supervise, oversee and plan all activity that relates to inventory control in the organization.
  • Work directly with management to bring them up to date regarding stock inflow and outflow.
  • Compile inventory information and present it to management for effective decision-making, utilizing both BENBUYS and Axium reporting tools. Act as PO Manager with zero-dollar approval that would allow for the processing of the PO, receipting, reconciliation of invoices, and inquiry/reporting for encumbrances, open POs and invoicing/receipting.
  • Investigate and correct discrepancies in reported quantities and locations of all inventory.
  • Take physical inventory of all material on a regular periodic basis to ensure accuracy of inventory.
  • Other duties as assigned.

 


EDUCATION:

Bachelor's degree, in addition to three to five years of direct working experience required.

QUALIFICATIONS:

 

 

  • Familiarity with the schools products is an added advantage in most instances, demonstrating better understanding of the company's expectations and core business preferred.
  • Receiving/stockroom/warehouse operations is a plus with the basic understanding of inventory control procedures.
  • Strong analytical and communication skills both written and verbal.
  • Extremely organized and able to work with minimum supervision in a fast paced professional environment.
  • Must have the ability to use a personal computer to enter data along with programs such has Outlook and excel.
  • Accuracy and attention to detail strongly encouraged for this position.
