Job Description Summary
The Division of Business Services (BSD) supports the individual and collective needs of the Penn community by promoting a hospitable, customer-friendly campus environment through the provision of mission-critical services and essential operations. BSD's mission is to provide high-quality service in a fiscally responsible manner. The BSD Administrative Assistant serves as front desk and administrative support for the BSD central office. As BSD Administrative Assistant this candidate must be comfortable operating in a public facing position and serving as one of the first people someone sees when entering the suite. Having a service mindset, the selected candidate will need to be flexible, adaptable, and willing to perform both routine and non-routine tasks as needed.

Job Description

Under limited supervision, this position provides administrative and other programmatic support to managers, employees, students and office visitors by handling a variety of administrative and clerical tasks in order to ensure that all interactions between the organization and others are positive and productive. The ability to multi-task, while maintaining complex schedules and managing administrative support, is essential in this position. Reporting to the Senior Director of BSD Human Resources & Penn Children's Center, the BSD Administrative Assistant will perform a variety of tasks to include:

Reception Duties: Answering phones including the Office of Vice President's phone; greets visitors & provides directional assistance; manages conference room calendar/bookings; and monitors conference room cleanliness/quality (in collaboration with BSD Housekeeper); serves as backup Receptionist in the absence of regular staff member.

Supports Purchasing Administrative/Transactional Processes: Provide customer service by answering routine questions via phone and email; research vendor information to validate submitted information for accuracy; follow up proactively with vendors for missing or additional information.

Support the Penn Home Ownership Services (PHOS): Update PHOS database with approved content; answering customer calls/emails; scheduling meetings. presentations/education sessions; printing/collating/filing/archiving documentation for closings/meetings; and attend events in support of PHOS education/programming.

Undertakes Other Administrative Tasks (both Routine and Non-Routine) for BSD Office as Required: Photocopying, printing, collating, archiving, distributing mail/notices as needed; schedule recruitment interviews and other BSD Central meetings as requested; serve as backup for Workday payroll transactions; perform HR related administrative tasks as needed; support the BSD Senior Director of Human Resources & Penn Children's Center as needed; complete PO and P-Card transactions for BSD Central; process invoices and undertake general accounting transactions/reporting/reconciliation as assigned.

Qualifications
Associates Degree and 2-3 years of experience, or an equivalent combination of education and experience. Degree preferred. Extensive customer service experience. Experience using various online systems (including Microsoft Office Suite) as well as a proven aptitude to learn multiple software system applications. Strong interpersonal and communication skills (written/verbal). Strong organizational skills and ability to effective prioritize tasks. Ability to resolve issues with demanding customers with limited supervision. Familiarity and experience in using Penn's BEN Financial system or similar a plus. Notary accreditation desirable.
