Job Description Summary
The Department Administrator handles the general office administration for the department and serves as the primary contact for undergraduate and graduate students, as well as providing administrative support to the Department Chair and faculty.
The Department of Philosophy at the University of Pennsylvania is a research intensive, highly interdisciplinary center of philosophical scholarship on Penn's campus. The core strengths of the department are centered in moral philosophy and philosophy of science, broadly understood to include the history of these disciplines and cognizant areas such as metaphysics, epistemology, and logic. The department's course offerings serve the programs in Cognitive Science, Visual Studies, the Biological Basis of Behavior, and Philosophy, Politics, and Economics, as well its own majors and general education requirements. Both teaching and research activities are coordinated with philosophy faculty in the Law, Medicine, Education, and Business schools.

Job Description

The Department Administrator handles the general office administration for the department, providing administrative support to the Department Chair and faculty and serving as the primary point-of-contact person for SAS and University administrative services. The candidate is responsible for developing and maintaining communications, fielding inquiries, and guiding both graduate students and faculty through a variety of University policies, resources, and procedures. Also responsible for coordinating the human resource needs of the department, including assisting with faculty and staff searches and appointments. This person maintains and organizes all records with strict confidentiality and acts as the departmental liaison to budget and finance areas within SAS, including being knowledgeable about departmental expenses. The candidate works in conjunction with the departments' Business Office, to monitor and maintain all procurement and payment processes. Also, keep track of emerging needs, changing priorities, required resources for the departmental mission. Also responsible for department event planning and workshop coordination, as well as maintaining, updating, and developing the department website and other electronic resources. Candidate will also process Must understand and effectively communicate the scholarly and teaching missions of the department. Assists with the planning and execution of special projects, centers, and institutes, as well as the application for extramural funding. Graphic design ability for posters, signs etc. Process International Visa applications for Philosophy. Organize the curriculum, identifying and effectively procuring suitable teaching spaces and any related issues. Handle all of the administrative processes associated with planning the curriculum. Process all classes in the SRS system. Track planned academic leaves.

QUALIFICATIONS:

H.S. Diploma or GED Required, with 5-7 years of related experience or equivalent combination of education and experience. Bachelor degree strongly preferred. Ideal candidate must possess strong organizational skills, strong written and oral communications skills, and the ability to prioritize and meet deadlines. Must have a professional demeanor with the ability to provide excellent customer service to a diverse audience including working as a team and individually. Experience within a College or University setting preferred. Ideal candidate will have a solid understanding of scholarly resources across the University that are available for both students and department faculty. Financial experience, event-planning experience, and an understanding of academic and curriculum planning are preferred. Familiarity with Penn's financial application strongly encouraged. General knowledge and interest in Classical Studies curriculum.
