Job Description Summary
Responsible for providing internal support of the development and execution of senior volunteer leadership activities, communications, and philanthropic engagement of these groups to advance Penn Medicine's strategic fundraising priorities to achieve annual development goals of $200M+. Duties focus on the Penn Medicine Board, Campaign/Development Leadership Cabinet, leadership messaging and presentations, volunteer data analysis, and supporting volunteer fundraisers. Responsibilities include working directly with members of the Penn Medicine Development senior team and staffing meetings involving department chairs, center and institute directors, and high level prospects and donors. Fundraising activities focus on philanthropic volunteer prospect identification, cultivation, recruitment, solicitation, stewardship, data management, briefing preparation, stewardship and special events/meeting coordination.

Job Description

Position Duties:

1. Leadership Communications. Craft messaging and graphic presentations summarizing the activities of Penn Medicine's development program for the Penn Medicine Board, the Development Leadership Cabinet, and other internal and external audiences, including creating presentations and talking points for the Chief Advancement Officer, Development Cabinet Chair and Vice Chairs.

2. Board and Philanthropic Volunteer Identification and Cultivation. Using research tools and working collaboratively with Penn Medicine Development colleagues, identify candidates for the Penn Medicine Board and Development Leadership Cabinet. Manage systematic internal review of candidates, contribute to the strategy to engage prospective candidates in the activities of Penn Medicine, document next steps and actions, and assist with execution of plans.

3. Board Nominating Process. Working with Chief Executive Director, prepare candidate briefings and materials for Penn Medicine Board nomination committee meetings. Collaborate with Development colleagues to facilitate advancement of new candidates and management of term expirations.

4. Cultivation/ Recruitment correspondence and briefings. Responsible for the drafting of recruitment, invitation and term renewal/rotation letters, reports, select correspondence, resolutions, and briefing materials for faculty, Development colleagues, and institutional leadership.

5. Volunteer Data Analysis and Performance Measurements. Primarily responsible for the design, development and implementation of resources to measure and evaluate volunteer group effectiveness, in support of increased fundraising and engagement. Provide best practices, resources, and information to volunteer group leaders across Penn Medicine development and serve as liaison with University Volunteer Support office. Serve as a content expert on volunteer initiatives for the Sales Force implementation Task Forces and other new initiatives as needed.

6. Create Engaging Illustrations of Fundraising Priorities. Develop original content that distills complex information into concise graphic representations that tell a clear, inspiring story about our strategic priorities. Drawing on institutional knowledge and in collaboration with Development colleagues, tailor content for a variety of contexts (presentations/collateral material, performance reporting, etc.)

7. Planning and Executing Development Leadership Cabinet meetings. Working with Chief Executive Director, assist in planning and development of content for Development Leadership Cabinet meetings. Contribute to agenda, meeting planning and execution, and coordination of speakers including at times assisting with creation or edits of speaker presentations.

8. Stewardship and Recognition. Work in concert with Donor Relations team in managing and/or coordinating stewardship reports/activities for Penn Medicine Board and Cabinet member donors. Collaborate with Communications team on campaign and post campaign reporting, and feature articles/publications recognizing Board/Cabinet member volunteer service, giving, and engagement.

9. Special Event/ Meeting Coordination. Collaborate with Institutional Events team to plan, staff and/or coordinate special meetings and events related to celebration of campaign, capital, and other milestones of achievement, or to recognize/ honor volunteer service.

10. Special Projects. Manage endowed chairs database and report creation in support of strategic planning needs for Development and the Dean's Office. Create and maintain a pipeline database for tracking board and philanthropic volunteer candidates. Advise and/or assist with development of enhanced performance reporting resources for strategic fundraising priorities.

11. Oversee select tasks of the Assistant Director, Strategic Planning & Analysis. Oversee the Assistant Director for support and back up of endowed chairs database and volunteer data analysis responsibilities.

Qualifications:

1. Bachelor's degree; three to five years of relevant experience (preferably in institutional development, with exposure to prospect management, annual giving, major gifts, volunteer management, and stewardship) required. An advanced degree in a related field or a development certification is desirable.

2. Strong administrative experience and the ability to work independently, establish objectives, and organize a successful approach to achieving fund-raising goals.

3. Ability to work collaboratively with a diverse group of colleagues to achieve stated program and project objectives as part of a goal-oriented team. Demonstrated ability to work effectively with senior staff and offices of institutional leadership.

4. Excellent oral and written communication and interpersonal skills. Experience with public speaking and presentation development skills are desirable.

5. Excellent organizational and analytical skills with ability to integrate ideas and concepts. Superior attention to detail with demonstrated ability to effectively handle multiple tasks for projects in an environment where accuracy and meeting tight deadlines is essential.

6. Extensive knowledge and experience with use of prospect management databases, Microsoft Office Suite, and Adobe Creative Suite. Expertise in database construction and administration ideal.

7. Capability to handle complex and highly confidential information.

8. Ability to travel both locally and nationally, must be willing to work evenings and weekends.
