Position Summary
The University of Oregon (UO) College of Education (COE) HEDCO Clinic is seeking a culturally competent HEDCO Clinic Assistant Manager who will support the daily operation of the HEDCO Clinic, as directed by the Clinic Manager, to ensure high-quality care and a welcoming atmosphere is provided for a diverse clientele. This position is located on the UO Campus in Eugene, Oregon.

Responsibilities include managing clinic operations, clinic administrative and business support processes, and clinic communications (internal and external). The Clinic Assistant Manager creates content for web-based and social media content for the HEDCO clinic and works closely with the College of Education's Communications team to ensure adherence to UO policy. The position provides digital and print media support for clinic staff, student interns, program supervisors, and the public. The Clinic Assistant Manager must have the ability to take initiative, to exercise independent judgment, and remain calm and professional through difficult interactions.

In addition, the Clinic Assistant Manager is the primary point-of-contact for electronic health record database management for the Clinic which includes managing, creating, and updating electronic records forms in health records software, developing and documenting processes for EHR utilization, and providing training to faculty and graduate student clinical interns.

The HEDCO Clinic Assistant Manager is supervised by the HEDCO Clinic Manager. The Clinic Assistant Manager will provide oversight to 6-8 students who provide administrative and receptionist support in the Clinic.

This position will assist the clinic manager with the clinic operations and will serve as the acting manager at times that the manager is not present (approximately 2 hours a day M-F and during vacation periods).

The position provides information to clients, both in-person and over the phone, facilitates client check-in, and assists with coordinating intake processes. Clinic staff provide assistance to individuals who have difficulty with speech and/or hearing, individuals with physical and/or cognitive impairments, and individuals with mental health and/or substance abuse concerns. The HEDCO Clinic Assistant Manager plays a key supporting role in ensuring interactions with clients remain private and confidential. The assistant manager also ensures that that staff are professional and calm through difficult interactions.

Minimum Requirements

 

 

 

 

  • Two years of experience in health care or clinic operations or comparable experience
  • Experience working with electronic health records systems or comparable software systems

    Professional Competencies
  • Excellent computer skills, including experience with spreadsheets and databases
  • High level of professionalism in independently conducting business with the public and other professionals, ability to remain calm and professional through difficult interactions
  • Excellent communication skills and customer relations skills
  • Comprehensive knowledge and ability to communicate rules and policies in a variety of formats as necessary to guide students and faculty to comply with clinic policies, program requirements, accreditation agencies, and federal confidentiality law
  • Ability to apply sound judgment in assessing practical implications of alternative solutions; demonstrated ability to think critically and problem-solve independently
  • Demonstrated commitment in support of an inclusive and welcoming environment for individuals from diverse backgrounds and underrepresented groups

    Preferred Qualifications
  • Bachelor's degree in health care management, business or related health field OR certification in Clinic Office Management
  • Office management experience in a confidential clinical or healthcare setting
  • Familiar with HIPAA regulations regarding the release of medical and mental health records
  • Familiar with FERPA regulations and requirements for students
  • Experience overseeing university students' compliance with HIPAA regulations and health record confidentiality
  • Knowledge of State and Federal statutes and regulations governing both Federal and State health care programs, and UO policies, rules, and regulations
  • Experience interacting with students, faculty, and the general public in a clinical setting

    Department Summary
    The HEDCO Clinic is a multi-disciplinary, innovative training clinic within the College of Education offering children and families evidenced-based assessments, therapy, and tutoring services. The HEDCO Clinic consists of training and service clinics - including the Communication Disorders and Sciences (CDS) Program, Couples and Family Therapy (CFT) Program, Center on Teaching and Learning (CTL), Comprehensive Diagnostic Assessment Clinic (CDAC), Child and Family Center (CFC), Counseling Psychology Adult Practicum (CPC) and Applied Behavior Analysis (ABA) - operating within the College of Education and serving the community of Eugene-Springfield and greater Lane County. The clinic has a student clinician staff of approximately one hundred fifteen students and over forty faculty and supervisors.

    Students seeking careers as couples and family therapists, speech language pathologists, special education instructors, and counseling and school psychologists gain practical experience. The clinic is staffed by a team of faculty and graduate students who provide comprehensive, research-based services to a range of different populations, with ages from early childhood through older adults. The clinic provides services in the areas of autism, learning disability, speech and language therapy, cognitive and brain injury interventions, reading and mathematics tutoring, as well as individual, couples, and family counseling. The HEDCO Clinic provides more than 8,000 client appointments to more than 600 clients every year.
