Coordinator of Occupancy

Carnegie Mellon University’s Department of Housing Services and the Housing Operations team is searching for a Coordinator of Occupancy. This is an exciting opportunity for someone who thrives in an interesting and challenging work environment. Serving as an integral member team, the Coordinator of Occupancy is responsible for assisting with all aspects of the housing occupancy process.

Core responsibilities will include:

  • Serving as the first line of communication for all assignments and application related questions from students and/or parents via phone calls, emails, walk-ins, and/or scheduled appointments

  • Assisting with all aspects of day-to-day assignments inquires, housing applications, room changes, and room swaps

  • Serving as a key player during the Room Selection process for returning residents, including planning, messaging, trainings and presentations, and staffing at Room Selection events; manages key components of this process

  • Supervising a team of Room Selection Assistants, including hiring, training, and scheduling

  • Serving as a key player during the First-Year Assignments process for new incoming students; manages key components of this process

  • Overseeing the First-Year move-in/access letters for August move-in, in coordination with the Operations team

  • Managing the Winter Break application and assignments process, including billing, planning, messaging, etc. Key player on the Greek Housing team, including overseeing Greek Housing assignments and related Greek Housing application processes

  • Managing the Room Change Waitlist process, and makes assignments accordingly

  • Assisting with the Summer Housing application and assignments process, including billing, planning of buildings, accommodations, messaging, rates, website information, etc.

  • Primary user of the StarRez system, working closely with student data, applications, assignments, accommodations, billing, reporting, application portal management, auditing, process documentation, overall data integrity, correspondence documentation; requires strong attention to detail

  • Assisting with front desk coverage and access/key support, as needed

This individual should be able to manage multiple tasks, set priorities based on departmental missions and goals, possess strong written and oral communication skills, have a demonstrated ability of working with complex technology and database systems, must work collaboratively with students and other campus members, have an overall understanding of services provided by a university housing operation, and contribute to the departmental strategic planning process. Other responsibilities as needed. Some evening and weekend work required.

The anticipated salary for this position is $48,500.

Qualifications:

  • Bachelor’s Degree required, Master’s Degree in Students Affairs or Higher Education Administration, or related field, preferred

  • 1-3 years of relevant work experience required in a higher education setting; experience working in Housing/Residence Life preferred
