Academic Coordinator of Academic Advising and Transfer

GENERAL STATEMENT OF DUTIES: 

This position is responsible for the overall administration and management of services that directly relate to advising for our students. Responsible for performing advisory work, academic placement and educational work.  Responsible for coordinating advisement services, placement testing/assessment, advising staff and administrative support.

Job responsibilities include, but are not limited to: 

  • Develops, coordinates, and manages the daily operations of Academic Advising and Transfer Center; academic advising and administrative support.
  • Provides leadership and supervision in the development and implementation of proactive outreach and communication strategies to increase student use of advising services.
  • Trains faculty and professional staff advisors; instructs/aids faculty with student advisees; develops training materials for faculty advisors.
  • Works with the Dean of Admissions to develop New Student Orientation (NSO) schedule, coordinates and secures staff for the advising component of NSO.
  • Coordinates New Student Testing and Registration events; works with Admissions and Testing and Assessment center staff to solidify dates; recruits faculty/professional advisors to work the events.
  • Coordinates the campus wide advisor assignment process, ensuring all students are assigned an advisor; works with Academic Deans/Assistant Deans to assign students faculty advisors for specific disciplines.
  • Works collaboratively with Academic Deans/Assistant Deans and student enrollment and support service offices to ensure that common enrollment goals are shared and supported by advising staff.
  • Continuously evaluates effectiveness of advising protocols and efforts to ensure they meet students' needs.
  • Directs, develops, coordinates, and evaluates advising and student services programs, procedures, processes, materials, and training to ensure consistency in advising practices throughout the college.
  • Responsible for reviewing and approving staff hours and time sheets, departmental purchase orders, reimbursements etc.
  • Performs academic advisement to caseload of students, maintains student files, counseling notes, and contact logs, which document student advisement sessions; conducts career exploration and goal clarification activities and transfer advising.
  • Serves on college committees including Academic Advising Subcommittee.
  • Attends Massachusetts Academic Advising Association (MACADA) meetings.
  • Perform other related duties as assigned.

QUALIFICATIONS: 

  • Master's degree in Education, Counseling, Sociology, or closely related field; with five (5) years' experience and/or training that includes academic advisement, academic placement, counseling, career development, math/electronics teaching, or program/project management; or an equivalent combination of education, training, and experience.
  • Demonstrated experience in job requiring great attention to detail, organization, timeliness and report writing
  • Strong oral, written and interpersonal communication skills
  • Must be able to work in a fast-paced environment, juggling various responsibilities  and/or deadlines
  • Proficiency with technology used in assisting students and extracting student record data (e.g. WebAdvisor, Ellucian Colleague and Business Objects), required.
  • Knowledge and understanding of working with an ethnically diverse student body, preferred
  • Must have lead or management experience
  • Must have experience training employees

Working conditions/Physical Demands

Works in an office setting.   Tasks require the ability to exert light physical effort in sedentary to light work   Must be able to remain in a stationary position 50% of the time.  This person needs to move about inside the office to access office machinery.    Constantly operates a computer and other equipment i.e. copier.  This person frequently communicates with students, faculty and staff.    Must be able to exchange accurate information in these situations.

ADDITIONAL INFORMATION: 

SALARY:         $63,608 - $87,421 Range per annum.   Actual salary will be commensurate with academic background and experience per the MCCC Collective Bargaining

WORK SCHEDULE:   37.5 hours per week (Monday - Friday).  Requires flexibility to work occasional evenings and/or weekends as demand dictates.                      

TRAVEL:       Occasional travel on behalf of the college
