Job Description Summary
The Workflow and Process Automation Developer is responsible for designing and implementing workflow and automation solutions for student enrollment and registration related processes. The developer is a member of the Office of the University Registrar and supports work intersecting with many offices and individuals from admissions to development, academic advising to financial aid, the developer works with campus partners to identify areas and develop solutions where workflow and automation can improve processes and add value.

The developer plays a key role in the development and maintenance of university-wide workflows. The ideal candidate is curious, a continuous learner, working to improve their analytical and technical toolkit and increase productivity while working in a highly collaborative complex, and fast-paced environment. The Workflow and Process Automation Developer is an energetic, positive, and forward-thinking member of a growing team working to modernize Penn's student support systems and technology.

The Office of the University Registrar (OUR) supports students and departments during registration, reserves classrooms for courses and academic events, schedules final exams, publishes the University Catalog, records and reports enrollment and final grades, issues official transcripts, verifies graduation and degrees, assists in the administration of VA Benefits, and ensures the integrity, confidentiality and security of students' academic records. Job Description

The Workflow and Process Automation Developer will:
  • Design and develop new automation solutions and be responsible for on-time delivery of all required tasks
  • Partner with internal customers to assess needs and design solutions to improve efficiencies by automating repetitive and/or manual processes; improve controls through standardization of workflows
  • Lead requirements and scoping sessions with partners to understand, define and anticipate needs; create data and quality assurance reviews and direct stakeholders/customers in quality testing to ensure requirements have been met and design is optimized for functionality and performance
  • Plan and prioritize activities, report progress to the management on a regular basis
  • Work with IT and key colleagues to design the appropriate support structure and processes; execute UAT on data quality related projects
  • Design forms, workflow processes, web services, plugins, and other components needed to meet the business requirements
  • Design, develop, support third-party integrations
  • Ensure that all solutions are lightweight, scalable, completely secure, and built to an appropriate level of quality
  • Provide support for new and existing applications, systems, custom reports, and database structures
  • Participate in the implementation of the solution architecture, understanding and recognizing the impacts of the solution to other systems
  • Participate in requirement analysis along with business analysts and users
  • Create and manage design and technical specifications document, review, and update documentation for standard operating procedures
  • Collaborate with other programmers in development, techniques, and coding assignments
  • Research and recommend new and existing technologies to meet needs, including creating prototypes, design documents, and solution designs
  • Plan and execute secure, good practice data management strategies and approaches
  • Establish and maintain related data specifications and requirements, Standard Operating Procedures (SOPs) and data standards
  • Partner with stakeholders to create responsibility matrices for end-to-end processes
  • Continuous improvement; provide end-user technical support and performance-tune automated processes as necessary
  • Manage work request queue in accordance with team practices and internal ticket tracking, ensure requests are addressed in a timely manner
  • Collaborate with the team on required support related to automation


Required Qualifications:
  • 4+ years of experience developing workflow and automation applications
  • Bachelor's degree required (Bachelor of Science in Information Systems/Technology, Computer Science, Business Administration, or combination degree and related experience)
  • Excellent communication/presentation skills, both verbal and written, along with the ability to influence and demonstrate confidence in communications with senior level management
  • Strong analytical and problem-solving skills
  • Experience in workflow and automation systems such as UiPath, BP Logix
  • Demonstrated ability to be detail-oriented and accurate. Able to handle multiple tasks simultaneously.
  • Demonstrated organizational and prioritization skills, along with the ability to work within tight and often conflicting deadlines.
  • Must be flexible, show effective judgement, discretion and have the ability to handle confidential financial matters.
  • Work effectively in a highly matrixed and decentralized environment with the ability to navigate through ambiguity and demonstrate appreciation and support for diversity, inclusion and belonging in a constantly evolving academic/higher education environment.


Preferred Qualifications:
  • Ability to multi-task; high degree of organization and proven track record of managing multiple, competing projects and priorities simultaneously
  • Experience with basic reporting solutions and tools such as SAP Business Objects. Ability to become familiar with visual analytic tools such as Power BI, Tableau as well as data mining, process modeling/mining software, and other business intelligence tools and applications
  • Positive and flexible attitude to enable adjusting to different needs in an ever-changing environment
  • Proactively drives impact and engagement while bringing others along
  • Collaborative and team player
  • Proficient in Microsoft Office Suite (Word/Excel/Access/Visio/PowerPoint)

Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
