Job Description Summary

Under the supervision of the Director of Alumni Engagement and Associate Director of Alumni Relations, the Assistant Director works with Penn Carey Law's Alumni Relations team through the planning and execution of alumni events in support of the school's development and outreach efforts.

Job Description

Duties & Responsibilities

Plan and coordinate all aspects of Reunion Weekend, including plan all events, direct communications and marketing efforts, creating and manage registration tool, develop and implement staffing plan for the weekend, etc.

Together with the Assistant Director of Annual Giving, develop and execute an engagement strategy for recent graduates and manage the Penn Law "Graduates of the Last Decade" (GOLD) alumni group and related events. Oversee development and management of GOLD leadership board.

Initiate, plan, and implement programming locally, nationally, and internationally to keep alumni engaged with the Law School with a focus on Lifelong Learning.

Oversee all aspects of those events, including the copy, design, printing and mailing of related materials, and manage the selection and handling of venues, vendors, volunteers, contracts, budget and staffing, while staying within the parameters of the University Purchasing, Legal, & Risk Management Departments.

Create and distribute strategic survey tools for alumni events. Gather, analyze and distribute trending data from alumni events to forecast future involvement and fundraising

Assist the Director of Alumni Engagement with Law Alumni Society program, including three Board Days per year, the voting and nomination process, and the annual LAS Awards Ceremony. -15% Work with Student Affairs to provide alumni support to events including journal and student group conferences, Parents and Partners Day, Orientation, 5% Party and 95% Party, among others. Assist student groups in identifying and providing outreach to potential speakers and attendees for events.

Other duties as assigned.

Qualifications
  • BA/BS required and 2 to 3 years of experience or an equivalent combination of education and experience is required.
  • Experience within a college or university setting preferred. The candidate will have a history of working successfully with diverse constituencies, including colleagues, faculty, alumni, current students, and prospective students.
  • Excellent communication skills, both oral and written.
  • A track record of service, demonstrated flexibility and a strong work ethic.
  • Demonstrated ability to organize tasks & priorities, working under minimum supervision
  • Must demonstrate ability to work independently as well as within a team-orientation in a highly collaborative environment.
  • Must be able to work occasional evening or weekend hours.
  • Demonstrated ability to take initiative and assume responsibility
  • Demonstrated ability to create and work within budgets
  • Knowledge of University database (Salesforce) a plus
  • Knowledge of office procedures, practices & methods, including word processing (Microsoft Word for Windows), spreadsheet (Microsoft Excel) and database (Microsoft Access) programs required
  • Ability to work on multiple projects & meet tight deadlines essential.
  • Commitment to the Penn Law ideals of collaboration is required.
