Overview of LPS
The College of Liberal and Professional Studies in the University of Pennsylvania's School of Arts and Sciences is dedicated to extending learning beyond traditional borders and engages a richly diverse population of intellectually capable students at many points in their lives. LPS programs include professional and academic programs (including study abroad and English language programs for international students and professionals), summer sessions, non-credit programs, workshops, and symposia. LPS programs all have a foundation in the arts and sciences. Each year LPS offers 600 credit courses for undergraduate and graduate, degree and non- degree students as well as non-credit courses focused on areas such as personal enrichment, professional development, and English as a second language.

The position provides high-level administrative support and project management to the Master of Behavioral and Decision Sciences (MBDS) program, in collaboration with the College of Liberal & Professional Studies (LPS).

Job Description

Duties

The position provides high-level administrative support and project management to the Master of Behavioral and Decision Sciences (MBDS) program, in collaboration with the College of Liberal & Professional Studies (LPS). The incumbent will engage in a wide range of activities including logistical support for day-to-day operations, student and faculty support, coordination with program directors, interaction with prospective students, current students, faculty, and staff by phone, email, on campus and at local events. Duties include maintaining budgets, processing expenditures and reimbursements, fielding program inquiries, organizing the logistics of classes and program events, organizing meetings for students and program directors, assisting with the application and admissions process and guiding both graduate students and faculty through a variety of University policies, resources, and procedures.

Responsibilities

Student Services: Assist orienting new and continuing students to campus resources (PennCard, library, housing, ISSS, etc.), Direct student queries on billing, registration, and enrollment to the proper sources across campus. print posters, prepare capstones for Scholarly Commons, organize forms for capstones, transfer credit, etc.

Communication and Scheduling: Maintain student listservs, communicate with students and faculty about program information, internships, research, and job opportunities. Schedule appointments between students and directors as needed. Handle phone calls to the MBDS program. Organize annual fall welcome event, graduate research conference, and graduation reception. Assist with annual party, visiting speakers, graduation activities, and other program related events.

Marketing, Recruitment & Alumni Relations: Assist in organizing materials and logistics for information sessions and other recruitment activities, assist in communicating with prospective students, and generally support the marketing and recruitment activities for the programs. Assist with alumni relations and maintenance of databases for graduate programs.

Department Support: Assist with department day to day operations as needed, assist with additional department event planning throughout the year. Manage purchases, keep track of budget, and ensure the program website is up to date. Handle receipts and reimbursements for lab/field based experiments run by MBDS students and associated personnel. Organize travel and reimbursements related to the program. Coordinate with related programs and departments.

Faculty Services: Process paperwork to hire instructors and lecturers, including payment, offer letters, and visa applications as necessary. Assist orienting new faculty to campus resources (PennCard, library, Canvas, CIT, Center for Teaching and Learning, etc.). Handle paperwork and Penn systems for visiting scholars affiliated with the MBDS program. Assist in room assignments, etc.

Perform additional duties as assigned

Qualifications

H.S. Diploma or GED Required, with 5-7 years of related experience or equivalent combination of education and experience. Bachelor degree strongly preferred. Ideal candidate must possess strong organizational skills, excellent written and oral communications skills, and the ability to prioritize and meet deadlines. Must have a professional demeanor with the ability to provide excellent customer service to a diverse audience including working as a team and individually. Experience within a College or University setting and event planning experience are preferred. The candidate should be comfortable with technology including Outlook and Microsoft Office; experience with CollegeNet and FreshDesk is preferred. Familiarity with Penn's financial application strongly encouraged. General knowledge and interest in the Master of Behavioral and Decision Sciences curriculum.
