Job Description Summary
The Program Manager manages and implements a wide range of activities for the Doctor of Nursing Practice program.

Job Description

Manage a variety of program-related evaluation processes working in collaboration with the Program Director, Track Leader and DNP Faculty. Prepare all program related documentation. Manage and prepare all meetings e.g., DNP curriculum committee meetings, DNP admissions committee, and meeting materials. Maintain essential program records in accordance with the Commission on Collegiate Nursing Education (CCNE) guidelines in preparation for site visits. Create and maintain the program website and communications. Provide coordinated student support and serves as primary point of contact for post-MSN and DNPEL cohorts. Support program accreditation; i.e. reports, evaluations, etc. Plans/coordinates on-campus intensives student experiences and arranges for lodgings. Monitor student/progress/attrition. Manage student examination processes; plan of study changes, addresses related student issues, and audits academic record to assure graduation readiness/requirements). Respond to inquiries and conduct appropriate follow-up. Liaises with Admissions Office to schedule admission interviews and coordinate interview process. Collaborates with other departments to arrange for online course production, and monitor the quality and assist with the development of online Canvas course offerings. Tracks the program budget in collaboration with the Director.

Program Support and administration operations- Manages a wide range of activities for the Doctor of Nursing Practice Program
  • Manages administrative operations in support of the program; including meeting schedules and preparation for meetings
  • Manage a variety of program-related evaluation processes working in collaboration with the Program Director, Track Leader and DNP Faculty.
  • Develop a master calendar of activities to anticipate needs and keep team informed on a timely basis.
  • Maintains and tracks clinical associate reappointment, preceptors, adjunct faculty, and new appointments.
  • Posts course related materials to Canvas; scans documents and articles to convert to PDF format. Monitors & tracks quality.
  • Uses Courses in Touch (CIT) to retrieve, copy, and format class lists as needed.
  • Schedules ad hoc classroom space and AV requests in liaison with the Office of Student Services and ITS Classroom Support.
  • Prepares agendas and meeting minutes with extensive follow up on action items.
  • Manages travel arrangements; expedites expense reimbursements.
  • Manages the Program Calendar to ensure upcoming events have been planned and logistics have been managed.

  • Participate in cross training for department back-up support.
  • Maintain and update the program website.
  • Purchase supplies and materials for the program.
  • Maintain accurate and up to date filing systems for the program both electronic and hard copy
  • Work collaboratively with key players (Marketing, ITS) to develop project scopes and objectives.


Program Student Support Services: Serve as the primary point of contact with the program and department for prospective and enrolled students
  • Plan and lead student support on administrative issues including new student setup and orientation, on-campus intensives and arranging lodgings;
  • Monitor signs of student attrition and work with Faculty Director to maintain enrollment;
  • Manage student examination processes; plan of study changes, and audits academic record to ensure graduation readiness; respond to inquiries and conduct appropriate follow-up.
  • Use sound judgment to respond to inquiries from potential prospects about the DNP/DNPEL program; conduct follow-up or refer questions to the appropriate person.
  • Schedule interviews for applicants with Program Director
  • Maintain shared applicant status information to keep the Admissions office informed.
  • Establish and maintain new files for incoming class cohort; Create and manage emerging alumni network and resources.
  • Assist with the orientation process of DNP students regarding inter-departmental policies and procedures.
  • Manage the course-related student examination process; maintain exams including transcription, marking and filing in program office.
  • Compile data for accurate student transcripts; submit graduation transcripts and applications
  • Track licensure in order for students to sit for boards when they graduate.
  • Format and print coursework - exams, quizzes, etc.; Scantron grading of exams and printing report for faculty.
  • Collaborate with online support team for Canvas management.
  • Manage on-campus experiences-programming, staffing, logistics, evaluation, capstone projects.


Accreditation and Evaluation Process - Manage and maintain essential program records in accordance with the complex CCNE guidelines in preparation for site visits
  • Manage a variety of program-related evaluation processes working in collaboration with the Director.
  • Develop and maintain systems and procedures to manage records and documentation in compliance with CCNE guidelines.
  • Maintain all records of committee minutes including faculty, advisory, curriculum, admissions, grievance, evaluation, etc. in compliance with CCNE requirements
  • Schedule staff related meetings including coordinating logistics and meeting minutes.
  • Maintain data on an ongoing basis to facilitate preparation of the annual report; assist with the development and preparation of the program's self-study and DNP documentation.
  • Coordinate and prepare reports of evaluation processes in compliance with CCNE guidelines
  • Using Qualtrics launch surveys and prepare reports for all recent graduates one year out of the program; including but not limited to graduate self-evaluation and graduate employer evaluation processes.
  • Prepare ad hoc reports for the Program Director and Track Leader as needed.
  • Manage business and financial processes including concur reimbursements and purchase orders as needed.


Collaborate with the DNP Curriculum Committee Chair, DNPNA Director, Associate Director, Program Coordinator and Faculty as needed
  • Tasks will include providing assistance with:
  • Event planning and execution;
  • Program materials and website copy;
  • Supporting team meetings.
  • Serves as programmatic back up for the other program coordinator.


Perform additional job related duties as assigned

QUALIFICATIONS:

BA/BS with 3-5 years progressively responsible administrative and program experience or equivalent combination. Prior higher education experience with program coordination support required. Excellent customer service and superior verbal and written communication skills are essential. The successful candidate will possess strong organizational and interpersonal skills with initiative and a results orientation. Sound judgment with the ability to plan and coordinate multiple projects with competing priorities needed. Must be detail-oriented, exercise discretion in working with confidential and sensitive matters. Strong writing skills needed; writing samples required. Demonstrated proficiency with intermediate to advanced knowledge of Microsoft Office Suite, including ability to create spreadsheets, manage databases and generate reports. Prior web content update experience helpful. Ability to work independently as well as an effective team player a must. Must have excellent written and oral communication, and customer relation skills.
