Job Description Summary
The Director is part of the central Alumni Relations management team and is responsible for the engagement of alumni of color, LGBTQ+ alumni and other under represented alumni.

Job Description

Reporting to the Senior Director of Penn Alumni Leadership and Inclusion, the Director works independently, and performs duties requiring considerable judgment and initiative related to the support of Penn's multicultural (alumni of color and LGBTQ alumni), under-represented alumni, and Shared Interest Group populations.

  • Initiate and execute, together with staff and volunteers, a series of programs, events and communications which engage under-represented alumni, alumni of color, and LGBTQ alumni (and current undergraduate and graduate students) with emphasis on creating a robust pipeline of alumni volunteers and leaders.
  • Responsible for managing alumni volunteers serving on the Penn Spectrum Programs committee of the Penn Alumni Board of Directors. Working with committee chair and members, duties would include organizing committee meetings, assisting with committee presentations for Board meetings and leadership retreat and coordinating with the Director of Penn Alumni Board Services in preparation for Penn Alumni Board leadership retreat and bi-annual meetings.
  • Provide leadership for process improvements and accountability measures across Alumni Relations with particular emphasis on, training and mentoring Assistant Director.
  • Work closely with Alumni Relations staff to create a forum and provide structure to facilitate innovation within the constraints of scarce resources.
  • Provide leadership and strategic direction for the Penn Spectrum Programs team, including Assistant Director and an Administrative Assistant, to meet the needs of the following targeted alumni populations:
  • Black Alumni Society
  • Association of Latino Alumni
  • Penn GALA (LGBTQ Alumni Association)
  • Association of Native Alumni
  • Penn Asian Alumni Network
  • Support the management of the James Brister Society together with the Senior Director
  • Manage the Shared Interest Group initiative, working with existing SIGs and new groups that would like to form.
  • Serve as the chief organizer of the Penn Spectrum Conference every 3 years, with a focus on engaging and empowering a robust alumni committee and attracting alumni attendees who have not been otherwise engaged.
  • Plan and execute a series of Penn Spectrum on the Road events in Penn Spectrum Conference off years
  • Compile, track and analyze data relevant to measuring effectiveness of programs, particularly with respect to attracting diverse groups of alumni at various stages of life. Prepare and disseminate summary reports to internal and external constituencies.
  • Contact, recruit and maintain pipeline of volunteers from diverse affinity, interest and targeted leadership groups to cultivate for general Alumni Relations and Penn volunteer leadership positions.
  • Develop and implement communication vehicles for volunteers, keeping them apprised of University and campus decisions and events.
  • Plan and execute against goals for diverse, shared interest and targeted leadership groups, including annual budgeting and work plans, for both internal and external use.
  • Create detailed time lines, work plans and assignments of responsibility for all programs and events, with particular emphasis on accountability throughout the lifecycle of an event and the desire to replicate successes and minimize mistakes for future events. 
  • Maintain budgets for all events and aggressive stewardship of Penn resources, allowing Alumni Relations to innovate within the constraints of scarce resources.
  • Work closely with each team in Alumni Relations to maximize programs and resources and advocate for collaborative and inclusive programs for diverse alumni.
  • Serve as chief liaison to the Cultural Resource Centers and their respective staff.
  • Create and support inclusive practices in the Alumni Relations office.
  • Recruit Penn faculty, officials, student leaders and other University administrators to be involved with the design and execution of programs and events for diverse affinity and interest groups. Prepare and disseminate appropriate briefings and acknowledgements, thus nurturing these campus leaders as future advocates for the mission of Alumni Relations.
  • Provide leadership for the strategic use of technology to manage data collection and dissemination, as well as Penn's outreach to a global alumni population.


Qualifications:

  • BA/BS degree; Three to five years of experience (Alumni Officer B) OR five to seven years of experience (Alumni Officer C) with significant professional and personal experience within education, alumni relations, development, non-profit/public affairs, and teaching, or equivalent combination of education and experience required. (Knowledge of Penn's Development and Alumni Relations program a plus.)
  • History of mentoring others to create leaders throughout an organization, with superior listening skills to help understand the developmental needs of others.
  • Proven success managing others, both subordinates and superiors alike.
  • Professional and personal lived experience with diversity, equity, inclusion and belonging.
  • Strong knowledge of diversity, equity, inclusion, anti-racism, anti-oppression and social justice.
  • Ability to motivate and oversee volunteers, especially those of high visibility and stature on campus and in local communities. Proven ability to exercise diplomacy, judgment, discretion and grace under fire.
  • Proven success in events, project or conference management, with financial acumen to oversee revenue and expense budgets for disparate groups and events.
  • Ability to communicate the message of Penn's momentum and the mission of Alumni Relations to a global alumni population with strong communication skills especially impeccable oral and written communication skills.
  • Strong comfort with technology, including state of the art data collection tools, office productivity packages, and the Internet as a tool for reconnecting alumni to Penn and with one another. 
  • Willingness to work non-traditional hours and travel on occasion.
  • Comfort with ambiguity and working within constraints of scarce resources.
